Managing Clinical Notes in Zoom Workplace for Clinicians

Zoom Workplace for Clinicians provides healthcare professionals with an integrated solution for automating clinical note-taking during in-person and virtual patient-physician interactions. With Zoom Workplace for Clinicians, clinicians can search for and sort notes based on creation date, last modified date, or retention period. Clinical Notes can be updated, renamed, transferred to a new owner, or permanently deleted as needed. Additionally, users can complete notes and transfer them to an integrated electronic health record (EHR) system for further documentation.

How to manage Clinical Notes

Accessing Clinical Notes

  1. Sign in to the Zoom Workplace desktop app.
  2. Click Clinical Notes tab.
  3. Click the Activity Center notification to open a recently generated Clinical Note.
  4. In the search bar, enter a keyword or topic name to search for a note.
  5. (Optional) Click the Sort dropdown and sort notes by the following:
  6. Creation date
  7. Last modified date
  8. Days until deletion

Updating Clinical Notes

  1. Sign in to the Zoom Workplace desktop app.
  2. Click Clinical Notes tab.
  3. Click on the note topic or hover over the note and click Review to open the note and make changes.
  4. (Optional) On the Review page, click Rename, enter a new name, then click Save to rename a Clinical Note.

Note: Notes are titled using the Zoom Meeting ID by default.

Completing Clinical Notes

  1. Sign in to the Zoom Workplace desktop app.
  2. Click Clinical Notes tab.
  3. Click on the note topic or hover over the note and click Review to open the note.
  4. In the top-right, click the clipboard icon to copy a Clinical Note to the clipboard and transfer it to the EHR in integrated applications.
  5. (Optional) In the top right, click the Complete button to move the note to completed status and out of the task list.

Changing owner of Clinical Notes

  1. Sign in to the Zoom Workplace desktop app.
  2. Click Clinical Notes tab.
  3. Hover over the note, click , then click Change Owner.
  4. Enter the new owner's email and click Change.

Note: The new owner must be within the same Zoom account.

Deleting Clinical Notes

  1. Sign in to the Zoom Workplace desktop app.
  2. Click Clinical Notes tab.
  3. Hover over the note, click , then click Delete forever.
  4. Click Delete.

Note: Select more than one note to batch delete multiple notes at once.
