Understanding Online Fax licensing

Online Fax is Zoom's electronic fax (eFax) offering that allows Zoom Phone users to send and receive faxes without a traditional fax machine or analog telephone lines. Zoom allows Online Fax users to send and receive PDF files without requiring a physical fax machine.

Additionally, users with an auto receptionist (AR), call queue (CQ), or shared line group (SLG) caller ID can send faxes from these numbers. Users added to the Online Fax Member List of an AR, CQ, or SLG can receive faxes for those extensions via the Zoom Workplace app.

Understand how Online Fax is charged

Zoom Online Fax is charged by page, regardless of whether the fax is incoming or outgoing. This means that:

Unlimited faxing with certain plans

Users with certain Zoom Workplace plans include unlimited faxing at no additional per-page cost. If you use one of the following plans, your account includes unlimited inbound and outbound fax usage:

Users on these plans can send and receive faxes without worrying about page limits or overage charges.

Understand pooled fax pages for US and Canada licenses

Unlimited regional domestic plans will have fax pages pooled to the account. Each qualifying account receives a monthly pool of 50 fax pages per user with a US/Canada unlimited calling plan. For example, an account with 10 such users would have a shared pool of 500 fax pages per month. This pool covers both inbound and outbound faxes. Pooling of fax pages on an account level is available for organizations using US/Canada-based licenses or bundles such as:

Fax pages pooled on an account can be used for sending and receiving faxes to and from auto receptionists (AR), call queues (CQ), shared line groups (SLG), or by users with Zoom Phone Pro or regional metered plans. Faxes to or from AR, CQ, or SLG also count against the pooled balance.

Fax usage that exceeds the pooled count will incur additional charges per page. Additional fax usage will be billed per page on a Pay-As-You-Go (PAYG) basis, which can be found in the Billing tab in the Zoom web portal.

How to accept Online Fax rates in the Zoom web portal

Existing customers who have Zoom Phone before purchasing an Online Fax plan must accept the fax rates upon initial use.

Account Management
  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Account Management then Billing.
  3. Click the Current Plans tab.
  4. Under the Zoom Phone plan you want to manage, click View/Edit Countries/Regions.
    A pop-up window will appear.
  5. In the window, click the Fax tab.
    Note: Initially, the fax rate notice will appear, informing you that enabling fax services may incur metered usage charges based on applicable rates.
    • On the fax rate notice, click Confirm.
      By confirming, you acknowledge and accept these charges and agree to comply with the service terms and applicable usage policies.
  6. Click the Outgoing Rates or Incoming Rates tab to view the countries'/regions' toll and toll-free rates.
  7. (Optional) In the bottom-left corner of the window, click Export All Rates to download a CSV file of the fax rates.
  8. Click Save.
Billing portal under Plans and Billing

To manage Zoom Phone licenses on your account, follow the steps below depending on where your billing portal is located in the left navigation menu of the Zoom web portal. Not sure how to identify where your billing portal is located? Learn how to locate your billing settings.

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Plans and Billing then Plan Management.
  3. Click the Plan Management tab.
  4. To the right of the Zoom Phone plan you want to manage, click Manage.
    A pop-up window will appear.
  5. In the window, click View/Edit.
  6. Click the Fax tab.
