Tracking billable hours for Zoom Meetings

Customers can track and manage billable hours for meetings. They can manually start and stop tracking billable hours from the Zoom Workplace app. Additionally, customers can assign client codes, add billing notes during or after a meeting, and download billable hours reports directly from Contacts.

How to track billable hours for Zoom Meetings

Note: Ensure that the account setting is enabled for manual or automatic control:

Windows | macOS

Start tracking billable hours

  1. Start a Zoom meeting.
  2. In the meeting controls toolbar, click the ellipsis  , then click Start billable hours.
  3. Select if you want to either Start now or Start from beginning of meeting.

Pause and resume billable hours tracking

  1. During a Zoom meeting with billable hours tracking, pause billable hours tracking in the following ways:
    • In the meeting controls toolbar, click Pause billable hours.
    • At the top of the meeting window, to the right of billable hours  icon, click the dropdown arrow, then click Pause billable hours.
  2. Resume billable hours tracking in the following ways:
    • In the meeting controls toolbar, click Resume billable hours.
    • At the top of the meeting window, to the right of billable hours  icon, click the dropdown arrow, then click Resume billable hours.

View and edit billing details

View and edit the billing details during the meeting

  1. At the top of the meeting window, to the right of billable hours  icon, click the dropdown arrow, then click View billing details.
  2. In the meeting info pop-up, click the drop-down arrow or the pencil icon  next to Billing details.
    1. View the contact's name and the meeting's date/time.
    2. View the Billable hours time.
      Note: Billable hours can be edited after the meeting ends.
    3. In the Client code field, edit the client code.
    4. Under Billing notes, enter notes about the billable details.
  3. Click Save.

  2. Click the drop-down arrow or the pencil icon  next to Billing details.

How to add an unknown contact

Add an unknown contact during a billable meeting

  1. Start a meeting with billable hours.
  2. At the top of the meeting window, to the right of billable hours  icon, click the warning icon  .
    A message will appear, informing you that billable meetings with unknown contacts will not appear in your billable hours report.
  3. In the message,
    • Create contact: Create new contact information for this unknown contact.
    • Add to contact: Add this unknown contact's information to an existing contact.

Add unknown contacts after a billable phone call

  1. In the post-meeting card or the Calendar tab then meeting info card, click billing details.
  2. Click the drop-down arrow next to Billing details.
  3. Click Create contact to create new contact information for this unknown contact or click Add to contact to add this unknown contact's information to an existing contact.
  4. Click Save.

How to download reports

Windows | macOS
  1. Sign in to the Zoom desktop app.
  2. Click the Contacts tab .
  3. To the right of a contact you want to view, click the ellipsis , then click Download billable hours report.
    A pop-up window will appear.
  4. In the window, under Billable date range, select the date range.
  5. Under Client code, select the client code.
  6. Click Download to download the billable hours report.
