Troubleshooting Zoom Scheduler notification issues
Zoom Scheduler allows you to create booking pages where participants can schedule meetings with you based on your availability. However, you might encounter issues with email or SMS notifications not being received properly. This article covers common notification problems and their solutions.

Users may experience one or more of the following notification issues when using Zoom Scheduler:
- Not receiving booking confirmations when clients schedule meetings

- Email notifications being sent from the wrong email address
- SMS notifications not working despite phone number being configured
- Calendar conflicts not being properly detected or notified

Notification issues in Zoom Scheduler typically occur due to:

- Incorrect primary calendar selection affecting which email address is used for sending
How to troubleshoot Zoom Scheduler notification issues
Configure email notifications for booking confirmations
To ensure you receive email notifications when someone books a meeting:
- Sign in to the Zoom web portal
- In the navigation menu, click Scheduler.
- Click Settings, then click Profile tab.
- Under Notification Email, click the drop-down menu to select your email address.
Set up email notifications for specific booking schedules
- Sign in to the Zoom web portal
- In the navigation menu, click Scheduler.
- Select or click the desired booking schedule.
- Scroll down to Notifications.
- Click the dropdown menu for Select notification type.
- Choose Send email confirmation.
- Edit the Booking Confirmation Email settings as needed, then click Save.
- Click Finish to save your changes.
Fix issues with the wrong sender email address
If notifications are being sent from the wrong email address:
- Sign in to the Zoom web portal.
- In the left navigation menu, click Scheduler.
- In the top-right corner, click Settings.
- Click the Accounts tab.
- Verify which calendar is set as Primary (this email address will be used as the sender).
- To change the primary calendar, click Set as Primary next to your preferred calendar.
- If your preferred calendar isn't connected, click Add another account to add it.
- Configure the necessary permissions and follow the on-screen instructions to complete the connection.
Note: All meeting notifications will be sent from the email address associated with your primary calendar.
Set up SMS notifications
- Sign in to the Zoom web portal.
- In the left navigation panel, click Scheduler.
- In the top-right corner, click Settings, then select the Profile tab.
- Scroll down to the Phone Numbers section, you can edit or add a phone number. You can add up to three phone numbers for receiving notifications.
- Enable SMS reminders for a booking schedule.
- In the left navigation panel, click Scheduler.
- Click the Notification settings tab.
- Customize Zoom Scheduler SMS notifications.
Notes:
- Your phone number is needed for SMS notifications to work. You will receive a message if you haven't added your phone number.
- If you see an exclamation mark next to SMS notifications, you may need to reauthorize your account.
Check for calendar conflicts and authorization issues
If calendar conflicts aren't being detected properly:
- Sign in to the Zoom web portal.
- In the navigation menu, click Account Management then Account Settings.
- Click the Mail & Calendar tab.
- Under the Data sync section, enable the toggle for Bidirectional sync for Zoom meeting data between Zoom web portal and calendars.
- If prompted, click Enable to confirm your selection.
If you receive calendar authorization errors:
- Sign in to the Zoom web portal.
- In the left navigation panel, click Scheduler.
- In the top-right corner, click Settings.
- Click the Accounts tab.
- Find the connected calendar account, click the three dots next to it, and select Disconnect.
- Click Disconnect again to confirm.
- Reconnect the account you just disconnected by adding it again.
- Click Connect.
- Configure the necessary permissions and follow the on-screen instructions to complete the connection.
Unable to receive confirmation emails
If attendees aren't receiving confirmation emails:
- Ask recipients to check their spam/junk mail folders.
- Request they add the Zoom domain to their safe senders list.
- For Gmail users, check if emails are being automatically filtered to spam.
- For Yahoo email addresses, be aware that DMARC policy may block emails. In these cases, consider manually sending the invitation.
- Resend confirmation emails:
- Sign in to the Zoom web portal.
- In the left navigation panel, click Scheduler.
- Click Scheduled events.
- Select Upcoming.
- Find the appropriate event.
- Click Resend Confirmation Email.
Additional troubleshooting steps
If you're still experiencing notification issues:
- Clear your browser cookies and cache, then try again
- Try using a different browser or device.
- Work with your IT team to audit mail flow and troubleshoot email delivery problems.
- Verify that the Zoom.us domain is whitelisted in your email system
Note: By design, when someone books a meeting with you, the meeting automatically appears on your calendar without sending you an email notification.
