Managing concurrent events across multiple Zoom Events Hubs
Hosts can more efficiently manage overlapping events across their hubs with a Zoom Events and Zoom Webinars Plus Unlimited license. This feature enables more flexible and effective team collaboration by allowing multiple events to run simultaneously within the organization. The available concurrency across all active hubs which tie to Unlimited licenses equals the total number of licenses under the account. For example, if the account has purchased 3 Unlimited licenses, up to 3 events can be run at the same time across hubs.
Account admins can view concurrent event availability in Concurrency management under Account, receive in-product notifications for scheduling conflicts and manage concurrent event capabilities if needed.
Requirements for using concurrent events in SaaS hub
- Pro, Business, Enterprise, or Education account
- Zoom Webinars Plus / Events Unlimited license. Multiple Unlimited licenses under the same account are required for increased concurrency
- Stripe or PayPal Business account is required to create paid events
Note: For access to the latest Zoom Events and Webinar features, we strongly recommend hosts to update to the latest version of the Zoom desktop client/mobile application.
Understanding concurrency and its key rules
- The concurrency feature applies only to hubs linked to an active Zoom Events or Zoom Webinars Plus Unlimited license.
- At launch, all active Unlimited Hubs will automatically have concurrency capabilities enabled.
- The maximum number of concurrent events allowed across all active hubs is equal to the total number of Unlimited licenses on the account. For example, If an account has 10 Unlimited licenses (4 assigned to Host A, 6 unassigned), and there are 4 active hubs, those hubs share a total concurrency of 10 by default.
- Concurrent event capability depends on license type and capacity. For example, if an account has Zoom Webinars Plus 100 Unlimited and Zoom Events 500 Unlimited licenses, a hub can host two concurrent events, one Zoom Webinars Plus 100 and one Zoom Events 500.
How to check concurrency for an event within Hub
Hub license status
Enabling concurrency does not change the user the license is assigned to. The hub owner remains the assigned license holder through user management. The license continues to be the main license tied to the hub. Learn how to view license details and concurrency status in the Hub.
How to access Zoom Events Concurrency management settings
View concurrency settings as a Host
- Sign in to Zoom Events.
- In the top-left corner of the page, click Hub.
- In the left navigation menu, click Configuration, and then Plan details.
- Under the Capabilities of concurrency across hub section, view the summary of your Zoom Events and Zoom Webinars Plus Unlimited licenses, including the total available for concurrent events.
- (Optional) For any concurrency configuration needs or issues, contact the account admin.
Manage concurrency settings as an Account admin
- Sign in to Zoom Events as an account admin.
- In the top-left corner of the page, click Account.
- In the left navigation menu, click Concurrency Management.
- Under Concurrency mode, choose between the two modes:
- (Optional) View the table under Hubs and License for Concurrency to see a summary of your Zoom Events and Zoom Webinars Plus Unlimited licenses, including the total available for concurrent events.
How to set up concurrent events
When creating or editing events, the maximum available capacity based on the event time and type will be automatically shown. If there are any license conflicts or issues, details of the conflicting events will be displayed to help hosts or account admins resolve them.
How to handle concurrency conflicts or error messages
Manage concurrency conflicts or errors as a Host
If you receive a concurrency conflict error while setting up an event, it means your event overlaps with another scheduled event. To resolve this:
Note: During event setup, an error message will show the cause of the conflict and indicate which event or session it’s coming from.
- Coordinate with your team and other event organizers to ensure event times do not overlap.
- Reschedule any conflicting events to a different time.
- If needed, contact your account admin for help resolving conflicts across hubs. To increase available concurrency, contact your admin to purchase additional Unlimited licenses.
Manage concurrency conflicts or errors as an Account admin
Account admins can help hosts resolve concurrency conflicts by increasing concurrency under Concurrency Management.
How to run more concurrent events
To increase the number of concurrent events you can run beyond the total number of Unlimited licenses under the account, you’ll need to purchase additional Unlimited licenses. Each license you add increases your overall concurrency limit by one. Learn more about purchasing additional Zoom Events and Zoom Webinars Plus licenses.
Note: How concurrency increases depends on the selected Concurrency mode:
Additionally, account admins can select between the two concurrency modes:
- Share multiple concurrency across hubs: By default, all Unlimited licenses you purchase are placed into a shared pool accessible by all hubs with Zoom Webinars Plus and Zoom Events Unlimited licenses. Concurrent events can be hosted across hubs, in accordance with license types and their status.
- Assign license(s) to hub for multiple concurrency: If an account admin wants to assign concurrency to specific hubs, they can do so by assigning Unlimited licenses under the Account management tab.
