Using Workday within AI Companion

The Workday app enables HR specialists and recruiters to manage job requisitions, candidate information, and employee records directly through the AI Companion panel. This integration streamlines processes and HR workflows by bringing Workday functionality into Zoom meetings.

Requirements for using Workday within AI Companion

• Custom AI Companion add-on
• Custom AI Companion for third-party apps must be enabled by account owners and admins and the third-party app must be integrated with AI Companion
• Zoom desktop app
  • Windows: 6.4.5 or higher
  • macOS: 6.4.5 or higher
  • Linux: 6.4.5 or higher
• A Workday instance with administrator access
• Valid Workday OAuth credentials
• Appropriate permissions to access HR data in Workday
• Use of Workday in personal workflows requires AI Companion on the web

How to set up Workday authentication

1. Sign in to your Workday instance.
2. Search for Register API Client.
3. Select Register API Client and create a new client.
4. Configure Redirect url: https://integrations.zoom.us/connectors/oauth/LDZQWAB0TCamQBUwBg_8dQ/authorized
5. Configure the following OAuth endpoints:
   • Base URL:https://wcpdev-services1.wd101.myworkday.com
   • Token endpoint: https://[your-domain].workday.com/ccx/oauth2/[tenant-id]/token
   • Client ID
   • Client secret
   • Authorization endpoint: https://[your-domain].workday.com/[tenant-id]/authorize

How to connect Workday with AI Companion

1. Sign in to the Zoom desktop app.
2. Click the Home tab or click the AI Companion icon from your active tab.
3. In the Write a message or type / for more field, click the add icon .
4. Click the My Apps tab then Workday.

How to disconnect the Workday app

1. Sign in to the Zoom App Marketplace as an account admin or owner.
2. In the top-right corner, click Manage.
3. In the navigation menu, click Added apps, then Workday.
4. Click Connections.
5. Click the ellipsis icon , then Disconnect.

Note: Workday app configuration data is deleted when you uninstall the app from the Zoom App Marketplace.

How to manage employee records

Search for employees

1. In the AI Companion panel, enter a search query using either:
   • Employee name
   • Employee ID
2. View employee details including:
   • Full name and ID
   • Job title and department
   • Contact information
   • Location

Note: Search results only include active employees unless specifically configured to show terminated workers.

How to work with job requisitions

View job requisitions

1. Access the job requisitions section.
2. Filter requisitions by:
   • Hiring manager
   • Department
   • Status (filled/unfilled)
   • Recruiter

Review candidate information

1. Select a specific job requisition.
2. View associated candidates including:
   • Candidate name and ID
   • Contact information
   • Application status
   • Associated job profiles

Note: Candidate information is only visible to users with appropriate permissions in Workday.

How to use Workday in AI Companion on the Web personal workflows

Authorizing the Workday app allows AI Companion to access your Workday records for automated creation and management.

1. Sign in to the Zoom web portal and navigate to AI Companion on the web.
2. In the navigation menu, click Workflows.
3. Under Workflows, click + Create.
4. In the Search all nodes field, enter Workday.
5. Click Workday.
6. When prompted, click  Authenticate to log in to your Workday account.
7. Select from the available predefined nodes.

The following workflow nodes are available when Workday is connected to AI Companion on the web. 

Note: Authentication is required before using the Workday nodes.

How your data is used

Zoom's Workday marketplace app allows Zoom Communications Inc. access to your Workday job, people, and job candidate records. To do so, you'll need to share Workday permissions. The permissions you'll share with Zoom Communications Inc. include:

• Access Workday content: Zoom Communications Inc. will have permission to access your Workday job, people, and job candidate records.

By authorizing this connection, the Workday app maintains ongoing access to your information.
