Using Box with ZoomMate and Zoom Virtual Agent

ZoomMate's Box integration enables you to manage Box files directly from the ZoomMate panel without switching between applications. You can find, share, and collaborate on digital files, including documents, photos, and videos, stored in Box. Additionally, admins can connect Box to Zoom Virtual Agent via the Zoom web portal, enabling voice or chat agents to access supported tools. 

You can also use Box with Zoom Chat.

Requirements for using Box with ZoomMate and Zoom Virtual Agent

ZoomMate requirements

• A paid Zoom license (Pro, Business, or Enterprise)
• Custom AI Companion add-on
• Custom AI Companion for third-party apps must be enabled by account owners and admins and the third-party app must be integrated with AI Companion
• Zoom desktop app
  • Windows: 7.0.5 or higher
  • macOS: 7.0.5 or higher
  • Linux: 7.0.5 or higher
• A Box account

Zoom Virtual Agent requirements

• Account owner or admin privileges for the Zoom web portal and Gmail
• Basic, Pro, Business, Education, or Enterprise account
• Zoom Virtual Agent license
• Edit access to the Virtual Agent product

How to connect Box with ZoomMate

Authorizing the Box app allows ZoomMate to access your Box files, folders, and associated metadata.

How to disconnect the Box app

1. Sign in to the Zoom App Marketplace as an account admin or owner.
2. In the top-right corner, click Manage.
3. In the navigation menu, click Added apps, then Box.
4. Click Connections.
5. Click the ellipsis icon , then Disconnect.

Note: Box app configuration data is deleted automatically when you remove the Box app from the Zoom App Marketplace.

How to find Box files

1. Launch ZoomMate.
2. Use natural language to ask AI Companion to find files. For example: "Find all PDF files updated in the last week" “What are the files containing “x” from the last 3 months?”

ZoomMate can search for specific file types including PDF, PowerPoint, and other common document formats.

How to share Box files

1. Ask ZoomMate to share a specific file. For example: "Share the quarterly report with my team"
2. Specify the sharing permissions when prompted:
   • Company: Only people within your organization
   • Open: Anyone with the link
   • Collaborators: Only invited users
3. Set additional sharing options:
   • Password protection (optional)
   • Link expiration date (optional)
   • Download permissions
   • View permissions

If you don't have sufficient permissions to share a file, ZoomMate will notify you and provide options to request access.

How to enable Zoom Virtual Agent Box integration

1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
2. In the top-right corner, click your profile picture or initials, then click Admin Center.
3. In the side menu, click Product configuration.
4. Click AI Studio, then Integrations.
5. Under Integrations, search for Box, then click Connect.
6. A new tab will open to begin the authentication process.
7. Enter your Box credentials and submit them.
8. When Box requests access to your account, click Accept, then Confirm to complete the connection.
9. Once authentication is successful, the integration will appear on your Integrations page.
10. In the navigation menu, click AI Studio then Integrations.
    You will see the Box application with an Active status.

How to use Box integration with ZVA voice or chat agents

1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
2. In the top-right corner, click your profile picture or initials, then click Admin Center.
3. In the side menu, click Product configuration.
4. Click AI Studio, then Tool Templates.
5. Click the Marketplace tab.
6. Expand Box for Zoom to view the list of supported tools.
7. Create a voice or chat agent and use the desired Box tools accordingly.

How your data is used

Zoom's Box app marketplace app allows Zoom Communications Inc. access to your Box files, folders, and associated metadata. To do so, you'll need to share Box permissions. The permissions you'll share with Zoom Communications Inc. include:

• Access Box content: Zoom Communications Inc. will have permission to access your Box files and folders, including file names, file contents, and collaboration metadata. Zoom Communications Inc. will also have permissions to update sharing permissions on files you own or have access to.

By authorizing this connection, the Box app maintains ongoing access to your information.
