Using HubSpot within AI Companion

The HubSpot connector for Zoom AI Companion enables you to manage customer data, interactions, and relationships directly within the Zoom interface. This integration eliminates the need to switch between applications, enhancing your productivity by allowing you to interact with HubSpot through natural language commands in the AI Companion panel.

How to connect Hubspot with AI Companion

  1. Sign in to the Zoom desktop app.
  2. Click the Home tab or click the AI Companion icon from your active tab.
  3. In the Write a message or type / for more field, click the add icon .
  4. Click the My Apps tab then Hubspot.

Note: Authorizing the Hubspot app allows AI Companion to access your Hubspot notes, stage, and contacts.

How to disconnect the Hubspot app

  1. Sign in to the Zoom App Marketplace as an account admin or owner.
  2. In the top-right corner, click Manage.
  3. In the navigation menu, click Added apps, then Hubspot.
  4. Click Connections.
  5. Click the ellipsis icon , then Disconnect.

Note: Hubspot app configuration data is deleted automatically when you remove the Hubspot app from the Zoom App Marketplace.

How to search HubSpot records

You can use the HubSpot connector to search for deals and accounts based on various parameters without leaving Zoom.

Search for deals

  1. Open the AI Companion panel in your Zoom desktop client.
  2. Type /hubspot followed by your search query related to deals.
  3. For example: /hubspot List all the forecasted deals to close this week or month
  4. AI Companion will process your request and return a list of matching deals from your HubSpot account.

Search for accounts by location or industry

  1. Open the AI Companion panel.
  2. Type /hubspot followed by your search query about accounts.
  3. For example: /hubspot Search all accounts within “x” zip code or /hubspot Search all accounts in the “y” industry
  4. AI Companion will return a list of accounts matching your search criteria.

How to update HubSpot records

The HubSpot connector allows you to update deal information and add notes without switching applications.

Add notes to a deal

  1. Open the AI Companion panel.
  2. Type /hubspot followed by your update request.
  3. For example: /hubspot Update the “x” deal with an Account Review: Met with customer, reviewed current account activity
  4. AI Companion will add the note to the specified deal in HubSpot and confirm the action.

Update a deal's sales stage

  1. Open the AI Companion panel.
  2. Type /hubspot followed by your stage update request.
  3. For example: /hubspot Update the sales stage of the “x“ opportunity to Contract Sent
  4. AI Companion will update the deal stage in HubSpot and confirm the change.

Note: Currently, the connector supports the following pre-defined deal stages: Appointment Scheduled, Qualified to Buy, Presentation Scheduled, Decision Maker Bought-in, Contract Sent, Closed Won, and Closed Lost.

Find the status of a deal

  1. Open the AI Companion panel.
  2. Type /hubspot followed by your request for deal status.
  3. For example: /hubspot Find the status of the “x” deal
  4. AI Companion will retrieve and display the current status, including the deal stage and latest notes.

Find latest notes on an account

  1. Open the AI Companion panel.
  2. Type /hubspot followed by your request for account notes.
  3. For example: /hubspot Find the latest notes on the “x” account
  4. AI Companion will retrieve and display the most recent notes associated with the specified account.

How to schedule meetings with HubSpot contacts

Schedule a meeting with stakeholders

  1. Open the AI Companion panel.
  2. Type /hubspot followed by your meeting request.
  3. For example: /hubspot schedule a meeting with key stakeholders for the “x” deal
  4. AI Companion will prompt you for necessary details such as date, time, and meeting title.
  5. Confirm the meeting information when prompted.
  6. AI Companion will create the meeting in HubSpot and associate it with the relevant deal and contacts.

Note: You'll need to specify which contacts should be included in the meeting. AI Companion can help identify key stakeholders associated with the deal.
