Using SMS notification for Zoom Scheduler
SMS notification allows you to send short, timely updates to attendees when they book a meeting with you using Zoom Scheduler. This includes booking confirmation, pre-meeting reminders, rescheduling or cancellation alerts, and post meeting follow up messages.
Requirements for using SMS notification for Zoom Scheduler
- Zoom Scheduler add-on
- Account owner or admin scheduler management privileges to manage SMS workflows setting
- Phone number must be added for SMS notifications to work.
Limitations for using SMS notification for Zoom Scheduler
- SMS notifications may only use Zoom’s default templates at this time. Customizing the content of SMS is not allowed
- Users are limited to 250 text messages/user/month. This number is reset at the start of each month.
- Users will be notified via email when they reach 90% and 100% of their monthly message allowance. When they exceed 100% of their monthly message allowance, text messages will be sent as emails.
- Including URLs/links in text messages is not allowed. Messages with URLs/links are blocked and recipients will not receive them.
- If a scheduled event has more than 100 attendees registered, SMS workflows will not be sent for this event.
- Text messages are limited to 180 characters in length. If variables cause the message to exceed 180 characters, the message will still be sent.
- Values of answer variables are trimmed to the first 30 characters in order to keep text messages short.
- The host is not notified when an attendee opts out of receiving SMS notification.
How to enable SMS workflows
Note: Account owner or admin scheduler management privileges are required to manage SMS workflows setting.
To enable the SMS workflows setting for all Zoom Scheduler users in the account:
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click Scheduler Management.
- Click the Customization tab.
- In the Workflow section, then Enabled workflows, click the SMS workflows toggle to enable it.
- Click Save.
How to configure the SMS notification for Zoom Scheduler
Configure the SMS notification for Zoom Scheduler from Booking pages
- Sign in to the Zoom web portal.
- In the navigation menu, under Personal, click Scheduler.
- Click the Booking pages tab.
- Create a new booking or edit an existing booking page.
- Under the Notifications tab, click the Reminder SMS toggle to enable or disable it.
- (Optional) Under Additional Notifications, choose the SMS notifications you want to apply to the booking schedule.
Click the toggle to enable or disable the following additional notifications:
- Booking Confirmation SMS: Sent immediately after a user books.
- Cancellation SMS: Sent immediately after a user cancels.
- Reconfirmation Email & SMS: Sent 2 days before the scheduled date, this message is sent to reconfirm a scheduled event.
- Reminder Email & SMS: Sent 1 day before the scheduled date, this email is sent to remind the person who scheduled the event.
- Any custom email notifications will be displayed at the bottom of the list.
- Click Next to continue editing the other settings or Finish to complete the set up.
Configure the SMS notification for Zoom Scheduler from Notification settings
Enable SMS notification for an existing notification option
- Sign in to the Zoom web portal.
- In the navigation menu, under Personal, click Scheduler.
- Click the Notification settings tab.
- Select the notification you wish to edit under Before Event and/or After Event.
- Under Send a custom notification before or after the event, select your preferred settings.
- Select the Send SMS checkbox.
- Click Save.
How to update SMS notification preferences as an attendee
As an attendee receiving SMS notification for Zoom Scheduler, you can update your preference by replying with these keywords:
- Opt out of text messages: Reply with STOP.
- Opt back into text messages: Reply with START.
- Get help with text messaging: Reply with HELP.
Note: Invitees must reply to the same number they opted out from. Replies to a different number won’t work.
Acceptable Use Policy
Zoom uses Twilio, a third-party communication platform, as its SMS provider. Text messages are sent through Twilio, using a randomly generated phone number (usually with a US area code). Invitees can opt in or out of receiving text messages at any time.
Some phone carriers in certain countries have strict filters that may block messages from being delivered. For more details, refer to Twilio's support resources.
Text messages sent from Zoom Scheduler must follow Twilio's Acceptable Use Policy. If account SMS messages that violate this policy are detected, SMS workflows may be turned off for your account.
