Using Zoom meetings with reservation only rooms

Zoom Workspace Reservation allows you to integrate Zoom meetings with your room reservations, including rooms without video equipment or rooms set up for other platforms such as Microsoft Teams or Cisco. Licensed Zoom Meetings users can create new meetings during the booking process, and all users can attach existing calendar meetings to a reservation.

How to add a Zoom meeting to a reservation only room

You can add a Zoom meeting to any room reservation, including rooms without video equipment or rooms configured for other video conferencing platforms. This allows you to hold virtual meetings regardless of the room's physical setup.

Add a new Zoom meeting

Note: This option requires a Zoom Meetings license.

Windows | macOS
  1. Sign in to the Zoom desktop client.
  2. Navigate to the Workspaces tab.
  3. Select the room you want to reserve.
  4. Click the Edit icon.
  5. Select your desired date and time for the reservation.
  6. Enter the Event name and Attendees.
  7. Under Event Type, select the radio button for Zoom Meeting.
  8. Configure your meeting settings as needed.
  9. Click Reserve to Myself to complete your reservation with the new Zoom meeting.
  10. (Optional) You may also book a new meeting for other users by clicking the dropdown arrow next to the Reserve for Myself option.

Note: When creating a new Zoom meeting during reservation, you will be assigned as the host of the meeting, not the room.

Web
  1. Sign in to the Zoom web portal.
  2. Navigate to Workspaces, then Workspaces Reservation.
  3. Select the room you want to reserve.
  4. Select your desired date and time for the reservation.
  5. Enter the Event name and Attendees.
  6. Under Event Type, select the radio button for Zoom Meeting.
  7. Configure your meeting settings as needed.
  8. Click Reserve to Myself to complete your reservation with the new Zoom meeting.
  9. (Optional) You may also book a new meeting for other users by clicking the dropdown arrow next to the Reserve for Myself option.

Note: When creating a new Zoom meeting during reservation, you will be assigned as the host of the meeting, not the room.

Android | iOS
  1. Open the Zoom mobile app.
  2. Tap More .
  3. Tap Workspaces.
  4. Under Reserve a Workspace.
  5. Choose your preferred date and time.
  6. Tap the room you want to reserve.
  7. (Optional)Tap Custom Recurrence to edit the recurrence of the meeting.
  8. Tap Reserve.

Add an existing Zoom meeting

You can attach an existing Zoom meeting to your room reservation regardless of whether you have a Zoom Meetings license.

Windows | macOS 
  1. Sign in to the Zoom desktop app.
  2. Navigate to the Workspaces tab.
  3. Select the room you want to reserve.
  4. Click the Edit icon.
  5. Click the Existing meeting tab.
  6. Select the date of your existing meeting.
  7. Click Reserve for Myself.
  8. (Optional) Click View other rooms to select other rooms.
  9. (Optional) You may also book an existing meeting for other users by clicking the dropdown arrow next to the Reserve for Myself option.

Note: You can view and select from all your existing meetings, even if you are not the host of the meeting.
