Enabling or disabling common area smartphones
Account owners and admins can allow smartphones to be provisioned as common areas using a 16-digit activation code. Activation codes remain valid for the duration of their expiration period. An expired code will not affect a smartphone that has been successfully provisioned.
Admins can also set a time limit for activation codes to remain valid after generation and select who can access and manage the device settings. If restrictions are applied, a personal extension and PIN code by authorized users will be required to make changes.

Requirements for enabling or disabling common area smartphones
- Either a Zoom Workplace license with Phone included, or a standalone Zoom Phone calling plan
- Account owner or admin with privileges
- Common Area or Zoom Phone licenses in the account
- Zoom mobile app for Android: Global minimum version or higher
- Zoom mobile app for iOS: 6.0.0 or higher
- Zoom mobile app for iPadOS: 6.0.0 or higher
How to enable or disable common area smartphones for your account
Notes:
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click Account Management then Account Settings.
- Click the Zoom Phone tab.
- Click the Common area smartphones toggle to enable or disable it.
- Complete the following actions:
- (Optional) Select the Allow users to switch to another common area profile from smartphones checkbox.
When selected, admins can configure common area profiles per site, with each profile representing specific job roles. Common areas will be grouped per site/account and visible for selection. Admins can manage common area department and smartphone visibility in Phone System Management. - Under Expiration Period, select a time to set a time limit for activation codes to remain valid after generation:
- 10 days, 30 days, or 90 days.
- Under Access Permissions, select one of the following:
Note: This allows you to select who can access and manage the device settings. If restrictions are applied, a personal extension and PIN code by authorized users will be required to make changes.
- No restrictions: Any user can make changes to the device settings.
- Custom member list: Create an Authorized Member List.
- After saving the Custom member list for Access Permissions, click Access Member List to add your users.
A pop-up window will appear. - In the window, click Add Member.
- In the Add member box, enter the name of your user(s), then click Save.
These members will be authorized to use their personal extension and PIN code to unlock certain common area smartphone settings and features. - (Optional) To remove a member:
- In the member list, select a user(s) checkbox(es).
- On the top-left corner, click Remove to remove a user(s).
- Under Enrollment token, provision common areas using an enrollment token. The enrollment token can be used for bulk operations when configured in a mandatory Mobile Device Management (MDM) solution. If an MDM is not available, then the activation code provisioning method must be used. If using the enrollment token method, your Network IP information must be entered before use. Do not use the enrollment token for any other purpose.
Note: This feature must be enabled by Zoom.
- To the right of Site IP address for enrollment token, click Manage.
You will be directed to the Manage IP address for sites page, where you can view the site name, private and public IP addresses, and edit the IP addresses.
- (Optional) At the top of the page, use the search bar to search by site name or IP address.
- (Optional) At the top of the page, click Import to import bulk updates for private and public IP addresses or ranges for sites, or batch add IP addresses.
- (Optional) At the top of the page, click Export to CSV to export the page's IP addresses as a CSV file.
- To the right of the IP address you want to edit, click the pencil icon

A pop-up window will appear.
- In the window, edit the IP addresses:
- Private IP addresses or ranges: When editing the IP address, separate multiple IP ranges with a comma. Use n.n.n.n, n.n.n.n/n or n.n.n.n - n.n.n.n syntax where n is a number. Up to 100 segments (99 commas) are supported. For example, 10.10.1.1, 192.168.0.2/24 or 172.16.5.10 - 172.16.5.200.
- Public IP addresses or ranges (Optional): Separate multiple IP ranges with a comma. Use n.n.n.n, n.n.n.n/n or n.n.n.n - n.n.n.n syntax where n is a number. Up to 100 segments (99 commas) are supported. For example: 46.33.24.184, 48.99.100.2/25 or 200.181.108.17 - 200.181.108.157.
- Click Save.
- Manage or download the enrollment token in the Smartphone clients tab under Device Management.
- Click Save.
- Create your common area if it’s not already created.
- Assign your common area as appropriate.
Note: You can assign your common area to a call queue, auto-receptionist, and so on.
Once your common area is created, you can manage your common areas in the Common Areas tab.
