Configuring the custom message for AI Companion
Account owners and admins can require meeting attendees to provide explicit consent before being recorded for AI Companion. When enabled, non-host participants join meetings with their camera and microphone disabled until they accept the custom AIC notice. The notice displays for 90 seconds with options to accept or leave the meeting. If participants don't respond, they remain in the meeting but cannot unmute or turn on their camera until providing consent.
Requirements for using the custom message for AI Companion
- Account owner or admin privileges
- Zoom desktop app for Windows, macOS, or Linux 6.0.10 or higher
- Zoom mobile app for Android or iOS 6.0.10 or higher
- Zoom Rooms version 6.5.0 or higher
How to enable or disable the custom message for AI Companion
Account
To enable or disable Show a custom message when turning on AI Companion in a meeting for all users in the account:
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click Account Management, then click Account Settings.
- Click the AI Companion tab.
- Under Meeting, click the Show a custom message when turning on AI Companion in a meeting toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change.
- (Optional) To prevent all users in your account from changing this setting, click the lock icon
, and then click Lock to confirm the setting. - (Optional) Click Manage message to configure it.
A pop-up window will appear.
- In the window, under Display for, select one, or both, of the following checkboxes:
- Internal participants
- External participants
- Note: If you selected both checkboxes, under Show the same message to internal and external users?, select either Yes or No.
- Under Require users to agree to recording and transcription?, select either Yes or No.
- Under Languages, click the dropdown and select the languages.
- Click Next.
- Write a message for the participants by including a message title and body.
- (Optional) In the top-right corner of the message, click Preview to how the message will appear to participants.
- (Optional) Below the message box, click + Add Link to add the Link URL and Link Text.
- Click Save when you are finished.
Group
To enable or disable Show a custom message when turning on AI Companion in a meeting for a group of users:
- Sign in to the Zoom web portal as an admin with the privilege to edit groups.
- In the navigation menu, click User Management then Groups.
- Click the applicable group name from the list.
- Click the AI Companion tab.
- Under Meeting, click the Show a custom message when turning on AI Companion in a meeting toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change.
Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level. - (Optional) To prevent all users in the group from changing this setting, click the lock icon
, and then click Lock to confirm the setting. - (Optional) Click Manage message to configure it.
