Using Conversation Briefs for Zoom Revenue Accelerator

Artificial intelligence can create interaction summaries—called Conversation Briefs—while adhering to preconfigured guidelines. These instructions serve as a prompt for the AI when generating a summary of the assigned conversation. Settings for Conversation Briefs can be managed at both the account and group levels, offering flexible control over their application. Users can create new brief instructions, edit existing ones, and prioritize them to ensure the most appropriate brief is applied to a given conversation. Once generated, a brief can be viewed within the relevant conversation's details page in the Zoom web portal.

How to access Conversation Brief settings

  1. Sign in to the Zoom web portal.
  2. In the navigation pane, click Account Management, then Account Settings.
  3. Click the Revenue Accelerator tab, then click AI Models Use.
  4. Under Conversation Briefs, click Manage brief templates.
    You will be taken to the Manage brief templates page.

Conversation Brief group settings

Conversation Briefs can be controlled at group levels, allowing for more refined control over which representatives have which briefs applied to their relevant conversations. These briefs are distinct from those in the account settings, allowing for macro and micro adjustments to be made to suit business needs.

How to reset group Conversation Brief settings

If a group’s Conversation Brief configuration needs to be set back to be in-sync with the account-level Conversation Brief configuration, this can be done within the group settings, which will also sync any future account setting changes to the group.

  1. Sign in to the Zoom web portal.
  2. In the navigation pane, click User Management, then Groups.
  3. Click the name of the group you wish to reset to be in-sync with the account’s Conversation Brief settings.
  4. Click the Revenue Accelerator tab, then click AI Models Use.
  5. Under Conversation Briefs, click Reset.
    Note: If you do not see the Reset button, the group’s settings are already copied from the account settings.

How to create new Conversation Brief instructions

  1. Access the Manage brief templates page.
  2. Click the External conversations tab to manage Conversation Briefs for conversations that take place with external parties, or click the Internal conversations tab to manage Conversation Briefs for conversations that take place with internal parties only.
  3. Click Add brief instructions.
    You will be taken to the Add brief instructions page.
  4. Fill out the details of your brief’s instructions.
  5. (Optional): To test your brief, click Test.
  6. (Optional): To edit a brief based on an existing brief template, click Edit from Template and select Default Brief, Generic External Sales Meeting Summary, Competitive Deal, or QBR (Quarterly Business Review).
  7. (Optional): To have your brief’s instructions rewritten for you by artificial intelligence, click Optimize.
  8. Click Save.

How to edit an existing Conversation Brief

  1. Access the Manage brief templates page.
  2. Click the External conversations tab if the brief you wish to edit is for external conversations, or click the Internal conversations tab if the brief you wish to edit is for internal conversations.
  3. Click the name of the brief you wish to edit.
    You will be taken to the Edit brief instructions page.
  4. Make your desired changes.
  5. Click Save.

How to rearrange Conversation Briefs for prioritization

Conversation Briefs are applied based on tags, then based on their rankings within the Manage brief templates page. By arranging the Conversation Briefs as needed, you can ensure the correct brief is applied in a variety of situations where conflicts may arise, such as a conversation having more than one tag that qualifies it for special brief instructions.

  1. Access the Manage brief templates page.
  2. Click the External conversations tab if the briefs you wish to rearrange are for external conversations, or click the Internal conversations tab if the briefs you wish to rearrange are for internal conversations.
  3. Click, hold, and drag the six dots  to rearrange your briefs.
    The highest relevant brief will be applied to a matching conversation, with a conversation working its way down the list of briefs until it finds a match.

How to view generated Conversation Briefs

  1. Sign in to the Zoom web portal.
  2. In the navigation pane, click Revenue Accelerator, then Conversations.
  3. Click the title of the conversation you wish to view.
    You will be taken to the conversation’s details page.
  4. The Conversation Brief will appear under Brief in the side panel.
