Replying to messages and meeting reminders from device notifications

If you have notifications from Zoom enabled, you can reply to Team Chat messages and Zoom meeting reminders directly from the notifications you receive on your device. For example, if you’re currently in a meeting that is running late, you can message participants in the upcoming meeting to let them know you’re running late. For ad-hoc meeting invites, you can decline and send a private message to the person inviting you. These features help minimize context switching and improve communication speed.

How to set up notifications to respond to Team Chat messages and upcoming meeting reminders

Windows | macOS

Before you begin:

  1. Sign in to the Zoom desktop app.
  2. In the top-right corner, click your profile picture, then click Settings.
  3. Click the Notifications & sounds tab.
  4. Under Desktop notifications, click the toggle next to the following settings to enable the relevant notifications:
    • Show message preview for chat notifications: To respond directly to a Team Chat message from the desktop notification, you must enable this setting to show the message preview.
    • Upcoming meetings: To respond to a meeting notification, you must enable this setting to receive notifications for upcoming meetings. After enabling this setting, choose how far in advance you want to receive reminders for upcoming meetings, such as 5 minutes before.
      Note: If the toggle next to Upcoming meetings is grayed out, it means that the Upcoming meeting reminder setting is disabled and locked at the account or group level in the Zoom web portal. An account owner or admin must enable or unlock the setting for you to enable it in your personal Zoom desktop app settings.     • New chat messages: To respond directly to a Team Chat message from the desktop notification, you must enable this setting to receive notifications for new chat messages. After enabling this setting, choose if you want to receive desktop notifications for All messages or Direct messages, mentions, and replies only.

After enabling these settings in the Zoom desktop app, changes are automatically applied. You will start receiving notifications when you receive Team Chat messages and/or when you have upcoming meetings.

How to respond to a Team Chat message from a notification

You can respond directly to one-on-one chats, group chats, channels, and continuous meeting chats from notifications you receive on your device.

Windows
  1. When you receive a desktop notification for a Team Chat message, enter your response in the text box.
  2. Press the Enter key or click the send icon .
    Your message will be sent as a response to the thread.
macOS
  1. When you receive a notification for a Team Chat message, hover over the notification and click Reply.
  2. Enter your response in the text box.
  3. Click Reply or press the Enter key to send your message.
    Your message will be sent as a response to the thread.

How to respond to meeting notifications

You can send a message directly from a meeting notification. This is useful when you want to let other meeting participants know you'll be late or cannot make the meeting.

Respond to an upcoming meeting notification

  1. When you receive a notification for an upcoming meeting with continuous meeting chat enabled, enter your message in the text box.
    Note: If continuous meeting chat is not enabled for the meeting, you will not have the option to enter a message.
  2. Press the Enter key or click the send icon .
    The message will be sent to the continuous meeting chat.

Respond to an ad-hoc meeting

When you receive an ad-hoc meeting invitation, you can choose to decline the invitation with a message.

  1. On the ad-hoc meeting invitation, click the Decline with message text box.
  2. Enter a message in the text box or choose one of the preset responses.

    The message will be sent privately to the person who invited you to join the meeting.

Respond to an upcoming meeting notification

  1. When you receive a notification for an upcoming meeting with continuous meeting chat enabled, hover over the notification, then click Options.
  2. Choose from the following options to send a message to the meeting chat:
    Note: If continuous meeting chat is not enabled for the meeting, you will not have the option to send a message.
    • Custom message: Click this option to enter your own message, then click Message or press the Enter key to send it to the meeting chat.
    • Message "I'm running late": Click this option to automatically message "I'm running late" to the meeting chat.
    • Message "Won't be able to join": Click this option to automatically message "Won't be able to join" to the meeting chat.
      The message will be sent to the continuous meeting chat.

Respond to an ad-hoc meeting

When you receive an ad-hoc meeting invitation, you can choose to decline the invitation with a message.

  1. On the ad-hoc meeting invitation, click the Decline with message text box.
  2. Enter a message in the text box or choose one of the preset responses.

    The message will be sent privately to the person who invited you to join the meeting.
