Configuring the Zoom Phone voicemail greeting enforcement
Account owners and admins can configure mandatory voicemail preamble and postamble messages that play before and after personal voicemail greetings across all extension types, including users, auto receptionists, call queues, shared line groups, and common areas. The preamble plays before the user's personal greeting, while the postamble plays after the personal greeting but before the caller leaves a message.
These mandatory messages are non-editable by end users and can be configured at the account, site, group, or extension level through policy settings. Admins can enable either preamble, postamble, or both options independently based on their organization's needs. This feature ensures consistent compliance messaging and legal disclaimers are delivered to all callers regardless of personalized voicemail settings.
Note: By default, this policy is available but not enabled. Admins must manually enable the policy and upload or select the appropriate audio files before the preamble or postamble messages will play.
Requirements for configuring the Zoom Phone voicemail greeting enforcement
- Either a Zoom Workplace license with Phone included, or a standalone Zoom Phone calling plan
- Account owner or admin privileges
How to enable or disable voicemail greeting enforcement: preamble and postamble
Account
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for all users in the account:
- Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
- In the navigation menu, click Account Management then Account Settings.
- Click the Zoom Phone tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change.
- (Optional) To prevent all users in your account from changing this setting, click the lock icon
, and then click Lock to confirm the setting. - Configure the voicemail greeting enforcement settings.
Group
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for a group of users:
- Sign in to the Zoom web portal as an admin with the privilege to edit groups.
- In the navigation menu, click User Management then Groups.
- Click the applicable group name from the list.
- Click the Zoom Phone tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change
Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level. - (Optional) To prevent all users in the group from changing this setting, click the lock icon
, and then click Lock to confirm the setting. - Configure the voicemail greeting enforcement settings.
Site
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for a site:
- Sign in to the Zoom web portal as an admin with the privilege to edit sites.
- In the navigation menu, click Phone System Management then Company Info.
- Click the applicable site name from the list.
- Click the Policy tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change
Note: If the option is grayed out, it has been locked at the account level and needs to be changed at that level. - (Optional) To prevent all users in the site from changing this setting, click the lock icon

Call queue
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for a call queue:
- Sign in to the Zoom web portal as an admin with the privilege to edit call queues.
- In the navigation menu, click Phone System Management then Call Queues.
- Click the applicable call queue name from the list.
- Click the Policy tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change
Note: If the option is grayed out, it has been locked at the site level and needs to be changed at that level. - Configure the voicemail greeting enforcement settings.
Auto receptionist
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for an auto receptionist:
- Sign in to the Zoom web portal as an admin with the privilege to edit auto receptionists.
- In the navigation menu, click Phone System Management then Auto Receptionists.
- Click either the Classic or Virtual Agent tab
. - Click the applicable auto receptionist name from the list.
- Click the Policy tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change

Shared line group
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for a shared line group:
- Sign in to the Zoom web portal as an admin with the privilege to edit auto receptionists.
- In the navigation menu, click Phone System Management then Shared Lines.
- Click the Shared Line Group tab.
- Click the applicable shared line group name from the list.
- Click the Policy tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change

Common area
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for a common area:
- Sign in to the Zoom web portal as an admin with the privilege to edit common areas.
- In the navigation menu, click Phone System Management then Users & Rooms.
- Click the Common Areas tab.
- Click the applicable common area name from the list.
- Click the Policy tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change

Phone user
To enable or disable Voicemail Greeting Enforcement: Preamble and Postamble for a phone user:

- In the navigation menu, click Phone System Management then Users & Rooms.
- Click the Users tab.
- Click the applicable phone user name from the list.
- Click the Policy tab.
- Under General, click the Voicemail Greeting Enforcement: Preamble and Postamble toggle to enable or disable it.
- If a verification dialog appears, click Enable or Disable to verify the change

How to configure the voicemail greeting enforcement settings
- Enable the Voicemail Greeting Enforcement: Preamble and Postamble setting at the level that you want.
- Select one of the following options and configure it:
- Play preamble message before voicemail greeting:
- Click Set Audio and then select one of the following:
- Choose from asset library: Choose an audio greeting if your account has an audio library set up.
- Add Audio: Add an audio greeting.
This applies when you are using the desktop client, mobile app, or a desk phone provisioned by your admin.
- Click Save.
- Play preamble message before voicemail greeting:
- Click Set Audio and then select one of the following:
- Choose from asset library: Choose an audio greeting if your account has an audio library set up.
- Add Audio: Add an audio greeting.
This applies when you are using the desktop client, mobile app, or a desk phone provisioned by your admin.
- Click Save.
