Filtering workspace usage data by seating capacity
The workspace seating capacity filter allows account owners and admins to analyze workspace usage data based on room size through predefined capacity ranges. This feature helps organizations identify underutilized or overbooked rooms, optimize space allocation, and make data-driven decisions about meeting space resources. The filter works alongside existing location and tags filters to provide detailed insights into how different types of meeting spaces are being used across your organization.
Requirements for filtering workspace usage data by seating capacity
- Account owner or admin privileges
- Zoom Workspaces enabled on your account
- Configured workspace seating capacity for rooms (optional - unconfigured spaces can still be filtered)
How to filter workspace data by seating capacity
- Sign in to the Zoom web portal.
- In the navigation panel, click Dashboard, then Workspaces tab.

, if you're unable to view the Workspaces tab. - Click the dropdown menu in Workspace type, then select Rooms.
- Select one of the predefined capacity ranges from the dropdown:
- 1-3 capacity (huddle room)
- 4-7 capacity (small room)
- 8-11 capacity (medium room)
- 12-25 capacity (large room)
- 26+ capacity (training or event room)
- Unconfigured capacity
The dashboard will update to display usage data for workspaces that match your selected capacity range.
Note: The seating capacity filter applies to shared Zoom Rooms, scheduling display-only rooms, and custom space types. It doesn't apply to desks unless you select "all types," in which case desks are considered to have a capacity of 1.
Understanding workspace capacity categories
The predefined capacity ranges correspond to common room types used in office environments:
- Huddle rooms (1-3 seats): Small informal meeting spaces for quick discussions
- Small rooms (4-7 seats): Standard meeting rooms for small team meetings
- Medium rooms (8-11 seats): Conference rooms for department meetings
- Large rooms (12-25 seats): Boardrooms and large conference spaces
- Training/event rooms (26+ seats): Large spaces for presentations, training, and events
- Unconfigured capacity: Rooms without defined seating capacity
This categorization helps you analyze usage patterns across different types of meeting spaces and identify opportunities for optimization.
