Managing workspace reservation check-in authentication
Account owners and admins can configure whether authentication is required when employees check into a desk on a scheduling display. By default, authentication via QR code scanning is required, but admins can disable this requirement through workspace settings. When disabled, users can simply tap Check in on the desk scheduling display without needing to scan a QR code. This streamlined check-in process helps employees who might otherwise miss check-in windows due to busy schedules, preventing reservations from being released when space is at a premium.
Requirements for managing workspace check-in authentication
- Zoom Workspaces enabled on your account
- Account owner or admin privileges
- Workspace scheduling displays configured for desk reservations
How to configure check-in authentication settings
- Sign in to the Zoom web portal as an owner or administrator with editing privileges.
- In the navigation panel, click Workspace Management, then Workspaces.
- Click Account settings.
- Under Basic, locate the Hot Desk check-in method configuration option.
Note: This setting can also be applied to different locations. - Select one of the following:
- QR code: Users must scan a QR code to check into desk reservations
- Button: Users can tap Check in directly on the scheduling display without authentication
Note: The Automatic check-in option must be enabled for the feature to work. - Both: Users can choose which check-in method they want to use for authentication.
- (Optional) To prevent all users in your account from changing this setting, click the lock
icon and then click Lock to confirm the setting. - Click Save.
Note: This setting only affects check-in functionality. Authorization is still required for booking desk reservations.
