Using conversational voicemail messages in Zoom Phone When conversational voicemails is enabled, users can broadcast voice or video messages to multiple recipients simultaneously through admin-defined groups or company-wide distribution, with automatic encryption through Customer Managed Keys (CMK).
The feature integrates with existing Zoom Phone (ZP) security controls, including Personally Identifiable Information (PII) redaction, Bring Your Own Storage (BYOS) compatibility, and voicemail task extraction capabilities. Messages automatically save as drafts when network issues occur during recording, and deleted voicemails follow existing trash folder policies.

Requirements for using conversational voicemail messages in Zoom Phone
Note : Your admin can restrict your ability to download or delete your voicemails.
How to access conversations in Zoom Phone

Sign in to the Zoom desktop app. Click the Phone tab . Click the Voicemail tab. (Optional) At the top of the screen, click the filter icon , then select Conversation to filter the conversational voicemail messages. Click the conversational voicemail message group, which is indicated by the group icon . The recipients and voicemails will appear.Note : Unread messages will be marked with a blue dot. Follow-up messages will be marked with a red dot.

Rename conversation topic
Access a conversation in Zoom Phone .At the top of the conversation screen, click the topic name. A pop-up window will appear. In the window, click the Settings tab. Edit the conversation name, then click Save changes .

Access a conversation in Zoom Phone .Hover your cursor over the conversation group you want to manage, then use the following actions:
Invite to meeting : Start an instant meeting with the group.Chat : Start a chat with the group.Send text message (only visible if you have SMS enabled): Send an SMS message to the group.Mark as read /Mark as unread: Mark the entire group conversation as read or unread.Mark as follow up : Mark the conversation as a follow-up.Mark as private /Mark as public : Mark the entire conversation as private or public. If you're the conversation owner, you must either delete the chat for all members or assign a new admin before leaving to keep the conversation for existing members. If you're a member, you will lose access to all voicemails.

This option is only available if you're the conversation owner. You will permanently remove all voicemails in this conversation. This action cannot be undone. If you have trash enabled , deleted conversational voicemails will go into the Recently Deleted trash folder; they will eventually be deleted, based on permanent delete policies.

Add members
Access a conversation in Zoom Phone .At the top of the conversation screen, click the group icon . A pop-up window will appear. In the window, click the Member tab. Click Add members to add members to the conversation. (Optional) Search for contacts you want to add by name, phone number, or email address. After selecting the contacts you want, click Add .

Access a conversation in Zoom Phone .At the top of the conversation screen, tap the conversation topic name. Tap Add members to add members to the conversation. (Optional) Search for contacts you want to add by name, phone number, or email address. After selecting the contacts you want, click Add .

(Optional) Use the search bar to search for a member. Long-press a member you want to manage and use the following options:

Create a voicemail message
Sign in to the Zoom desktop app. Click the Phone tab . Click the Voicemail tab. In the top-left corner of the left panel, click the ellipsis , then click + New voicemail . In the To field, search for and select multiple contacts to whom you want to send the voicemail. (Optional) Add a Conversation topic . Record your voicemail message .
This will create a conversation group .
Record conversational voicemail messages
Access a conversation in Zoom Phone .At the bottom of the conversation screen, click the record button to start recording a voicemail message. Click the stop recording icon to finish your recording. (Optional) At the bottom of the conversation screen, select the Private checkbox to mark the voicemail as private. A confirmation window will appear.
(Optional) In the window, select the Mark entire conversation as private checkbox to make the entire conversation private. Click Confirm .
Click Send .

Access a conversation in Zoom Phone .At the bottom of the conversation screen, click Record voicemail to start recording a voicemail message. (Optional) As you're recording, click the trash icon to delete your current recording attempt. Tap the stop recording icon to finish your recording. (Optional) At the bottom of the conversation screen, tap the Private icon to select to make the recorded voicemail private or mark the entire conversation as private , then tap Confirm . Tap the Send button .

View transcription : View the voicemail message transcription. You can use the following actions:
Transcribe to : Select the language to which you want to transcribe the voicemail; the voicemail will be transcribed in the corresponding language. The default setting is English.Mark as read /Mark as unread: Mark the voicemail as read or unread.Mark as follow up : Mark the voicemail as a follow-up.Phone call : Call the person who left you a voicemail message.Invite to meeting : Start an instant meeting with the contact.Chat : Start a 1-on-1 chat with the contact.Send text message (only visible if you have SMS enabled): Send an SMS message to the number.Star this contact /Unstar this contact : Add this contact to or remove this contact from your Starred contacts list. This option is only available if you're the conversation owner. This voicemail will be deleted for all members in this conversation. This action cannot be undone. If you have trash enabled , deleted conversational voicemails will go into the trash folder; they will eventually be deleted, based on permanent delete policies. If you are unable to delete voicemails, your account admin might have removed this feature from your account. You can contact your admin for further assistance.
