Customizing company logo and brand for Zoom Scheduler emails

You can apply custom branding to your confirmation and reminder emails in Zoom Scheduler by uploading your brand logo and choosing the colors and fonts used in your email templates.

Admins can create and lock standardized branded templates for the entire organization to ensure consistent external communications. If these templates are not locked, users can still customize their own email branding through the Branding tab in their settings. This helps maintain a professional and cohesive brand presence across all scheduler notifications sent to meeting attendees.

How to add company logo

  1. Sign in to the Zoom web portal.
  2. In the left navigation menu, click Scheduler.
  3. Click Settings.
  4. Select the Branding tab.
  5. Click Upload Logo and choose your logo file.
    Note: JPEG and PNG files are accepted. Max size 2 MB. Use 320px x 80px for the best display.
  6. Check the option Also apply this logo to attendee emails.

How to customize email style

You can further personalize your emails by customizing the font and colors:

To customize email style:

  1. Sign in to the Zoom web portal.
  2. In the left navigation menu, click Scheduler.
  3. Click Settings.
  4. Select the Branding tab.
  5. Scroll to the Email Style section.
  6. Adjust the font family, font size, and colors as desired.
  7. Click Save to apply your changes.

How admins can manage branding settings

If you're a Scheduler admin, you can manage branding settings globally for your organization:

  1. Sign in to the Zoom web portal as an admin with the privilege to edit account settings.
  2. In the navigation menu, click Scheduler Management.
  3. Click the Branding tab.
  4. Configure the following settings:
    1. Branding logo:
      1. Upload a custom logo to display on your booking pages. Note: The branding logo applies to both the booking page and email header.
        • You can choose to lock the branding logo.
          • When locked, all users will automatically use the admin-defined logo and cannot reset it in their personal Scheduler settings.
          • The Reset button will not appear for users.
          • When unlocked, users will see the Reset options in their own settings.
      2. Show different logo to selected languages: When enabled, admins can upload different logos per supported language.
        • If the admin configures language-specific logos, the corresponding logo will also be used in the email header, depending on the attendee’s notification language.
          • Example: If the attendee’s notification language is Chinese, the Chinese-specific logo will appear in the system email.
        • If the admin locks the booking page logo, this multi-language option becomes disabled.
          • No Edit or Delete actions will be available when locked.
      3. Also apply this logo to attendees' emails: When enabled, the branding logo uploaded for your booking page will also appear in all Zoom Scheduler email notifications sent to attendees
    2. Show "Powered by Zoom" on booking pages: Enable Show “Powered by Zoom” on booking pages to display this label when a custom logo is uploaded.
    3. Email style: Customize the fonts and colors for all outgoing Zoom Scheduler emails.
      Notes:
      1. Admins can configure the following settings (email font & color, hyperlink color, and frame color for outgoing Zoom Scheduler emails).
      2. (Optional) Lock the email style to prevent users from changing or editing it.
        • When locked, Source Code mode will no longer be available to users.
    4. Sender name for email invites: Set the default sender name format for Zoom Scheduler email notifications. This helps attendees recognize who the invite is from.

Note: Global settings applied by admins will ensure brand consistency across all scheduler users in your organization.
