Setting a primary host for group booking pages

You can designate a primary host when creating booking pages with at least 2 or more fixed hosts in Zoom Scheduler. This helps streamline meeting organization and ensures attendees clearly understand who their main point of contact is.

When creating a booking page with multiple hosts (such as Any Host Available or All Hosts Available), you can assign one host from the Will Attend pool as the primary host. This host receives specific responsibilities and privileges for the meeting and acts as the main point of contact for attendees.

The primary host appears to attendees as the meeting organizer, hosts the virtual meeting, and sends all booking-related communications, including confirmation emails, reminders, reschedules, cancellations, and follow-up messages. This consistent communication helps provide clarity for attendees and helps build rapport before the meeting begins.

How to set a primary host

  1. Create a booking page with a fixed multi-host pool, such as Any Host Available or All Hosts Available.
  2. From the hosts in the Will Attend pool, select one to designate as the primary host.
  3. Ensure the selected host has a connected calendar.

Virtual meeting locations

When choosing a virtual location for your meeting, you can only select platforms connected to the primary host's account.

If you select a virtual location (such as Google Meet or Microsoft Teams) that the primary host has not connected to, you will receive an error message. To fix this, either change the virtual location or choose a different primary host.

Meeting continuity with automatic host backup

If Scheduler encounters an error when creating a meeting with the primary host, it automatically assigns the next host in the fixed pool. This helps ensure your meetings are created successfully and helps maintain business continuity.
