Managing notes on workspace cards

Administrators can add contextual notes to workspace cards to provide important information about desks and rooms. These notes help users make informed reservation decisions by displaying details such as equipment specifications, temporary conditions, or usage instructions. Notes support both text and hyperlinks and are visible across all supported platforms including web, desktop, and mobile applications.

How to enable Workspace notes

  1. Sign in to the Zoom web portal as an admin or owner.
  2. In the navigation menu, click Workspace Management, then Workspaces.
  3. Under Basic, toggle on Workspace notes.
  4. (Optional) To prevent all users in your account from changing this setting, click the lock  icon, and then click Lock to confirm the setting.

How to add notes to workspace cards

Note: Only administrators can create and edit notes on workspace cards through the Zoom web portal.

  1. Sign in to the Zoom web portal as an admin or owner.
  2. In the navigation menu, click Workspace Management, then Workspaces.
  3. Click + Add notes.
  4. Enter your note text in the Notes field.
    Note: The note will be subject to character limits (max 500) for consistency across platforms.
  5. (Optional) Add hyperlinks within your note text for additional resources or information.
  6. Click Save to apply your changes.
    Note: The note will now be visible to all users when they view workspace details during the reservation process.

How to edit existing workspace notes

  1. Sign in to the Zoom web portal as an admin or owner.
  2. In the navigation menu, click Workspace Management, then Workspaces.
  3. Click Edit notes.
  4. In the workspace details, locate the existing text in the Notes field.
  5. Make your desired changes to the note content.
  6. Click Save to update the workspace information.
    Note: Your changes will be immediately visible to users across all platforms.

How to view workspace notes

Both users and administrators can view workspace notes when browsing or selecting workspaces for reservation.

View notes on web and desktop

  1. Open the Zoom Workspace Reservation interface.
  2. Browse available workspaces or search for a specific desk or room.
  3. Click on a workspace card to view its details.
    Note: The notes section will display any contextual information added by administrators.
  4. Review the note content, including any hyperlinks for additional resources.

View notes on mobile

  1. Open the Zoom Workspace Reservation mobile app.
  2. Navigate to the workspace selection screen.
  3. Tap on a workspace to view its details.
    Note: Notes will be displayed in the workspace information panel.
  4. Tap any hyperlinks in the notes to access additional information.

Note: Workspace notes are currently supported on web, desktop, and mobile platforms for Zoom Workspace Reservation. Notes are not displayed on Zoom Rooms devices.
