Configuring Workday as an organizational data source
Configuring Workday as a data source for Zoom AI Companion provides a new way for your organization to manage and work with knowledge from your Workday platform while respecting existing content access settings. By connecting Workday, users can enhance their AI Companion experience by providing it with direct access to your organizational knowledge base.

Requirements for configuring Workday as an organizational data source
- Account owner or admin privileges
- AI Companion enabled
- Custom AI Companion add-on
- An active Workday account with appropriate administrative permissions
- The Workday client has access to the following Scope (Functional Areas):
How to connect Workday as a data source
- Sign in to the Zoom web portal.
- In the navigation menu, click AI Studio, then Integrations.
- Locate the Workday card and click + Connect.
A Workday login window will appear. - Enter your Username and Password, then click Sign In.
How to configure Sync Settings
Once connected, you can manage how data is pulled from Workday into the platform. You can define specific rules to control which content is indexed.
- On the Workday Data Source page, navigate to Sync settings.
- Next to Inclusion rules, click the dropdown arrow.
- Under Audiences, use the dropdown menu to select the specific audiences to sync.
- Click Save to apply these rules.
How to configure Content access and Account mapping
Through account mapping, Zoom user accounts will be matched with corresponding user accounts in Workday and use that identity to access content, enabling consistent user access permissions of the knowledge.
- Under the Content access section, locate Account mapping.
- Click Set up mapping.
The Progress indicator will display the status of linked accounts (e.g., Progress (47/2596)).
Important notes about account mapping
- Processing Time: Account mapping can take a significant amount of time, depending on the number of users; please wait for the process to complete.
- Partial Mapping: Not all accounts will necessarily be mapped. If a Zoom user does not have a corresponding identity or access to the Workday app, they will not be included.
- Security of Knowledge: Zoom uses these mapped identities to access content on behalf of the user, adhering to Workday's existing permission structures.
How to monitor sync status
The Workday integration provides real-time visibility into the health of your data connection. The Status card displays:
- Status: Shows the current state of the sync (e.g., Completed, In Progress, or Failed).
- Synced items: The total count of items successfully imported from Workday.
- Anomalous items: A count of items that failed to sync due to errors or formatting issues.
- Last updated: A timestamp showing exactly when the last data refresh occurred.
How to disconnect Workday as a data source
To remove the integration from your Zoom account:
- Sign in to the Zoom web portal.
- In the navigation menu, click AI Studio then Integrations.
- In the Applications tab, click the ellipsis icon to the right of the Workday application
- Click Delete.
- Click Delete to confirm.
Note: Disconnecting the integration will remove Zoom's access to your content and stop all data synchronization. This action cannot be undone, but you can reconnect the integration at any time.

- Respects Permissions: The integration honors Workday’s internal content access settings. AI Companion will only leverage data that it has been granted permission to access.
