Adding your Zoom Scheduler link to your email signature
Adding your Zoom Scheduler booking link to your email signature lets anyone you email schedule time with you directly, no back-and-forth needed. Once you set it up, your booking link appears automatically on every email you send.
Requirements for adding your Zoom Scheduler link to your email signature
- A Zoom Scheduler account with at least one booking page created
How to copy your Zoom Scheduler signature
Zoom Scheduler includes a built-in signature generator that creates a ready-to-paste signature for your email client. You can access it from the Get booked faster checklist by selecting Add your link to your email signature, or at any time by clicking the ? icon in the bottom-left corner of the app.
- In the signature generator, select a signature style:
- Branded: Includes the Zoom Scheduler logo and a booking button
- Button: A booking button with your name and title
- Text: A plain text link, compatible with all email clients
- Note: If you use iCloud Mail, select the Text style. iCloud Mail only supports plain text signatures and won't display formatted styles correctly.
- Select the booking page you want to link to from the Booking page dropdown.
If you have multiple booking pages, you can create a separate signature for each one. - (Optional) Type your preferred button text in the text field to customize it. Common options include Book a meeting, Schedule time with me, or Find a time.
- Click Copy.
Your signature is copied to your clipboard and is ready to paste into your email client.

How to add your signature to your email client
Add signature in Gmail
- Open Gmail and click the Settings icon in the top right.
- Select See all settings.
- Under the General tab, scroll down to Signature and click Create new.
- Enter a name for your signature (for example, Zoom Scheduler), then click inside the signature text box.
- Press Cmd+V (Mac) or Ctrl+V (Windows) to paste your signature.
- Scroll to the bottom of the page and click Save Changes.

Add signature in Outlook (web)
- Open Outlook on the web and click the Settings icon in the top right.
- Navigate to Accounts, then select Signatures.
- Click New signature, or select an existing signature to edit.
- Click inside the signature editor and press Cmd+V (Mac) or Ctrl+V (Windows) to paste your signature.
- (Optional) Set the signature as the default for new messages and/or replies.
- Click Save.

Add signature in Outlook (desktop)
- Open Outlook and navigate to File, then Options, then Mail.
- Click Signatures.
- Click New, enter a name for your signature, then click OK.
- Click inside the signature editor and press Ctrl+V to paste your signature.
- Under Choose default signature, set your new signature as the default for New messages and/or Replies/forwards.
- Click OK to save.
Note: Outlook desktop renders HTML email using Microsoft Word's engine. Rounded corners and some spacing may appear slightly different from the preview in Zoom Scheduler — your signature will still display correctly for your recipients.

Add signature in Apple Mail (Mac)
- Open the Mail app and navigate to Mail, then Settings (or Preferences on older macOS versions).
- Click the Signatures tab.
- In the left column, select the email account you want to add the signature to.
- Click + below the middle column to create a new signature, then enter a name for it.
- In the right column (preview area), click to place your cursor, then press Cmd+V to paste your signature.
Note: If you see the option Always match my default message font, uncheck it before pasting. Leaving it checked will remove the formatting from your signature and display plain text only.

Add signature in iCloud Mail (web)
Note: iCloud Mail only supports plain text signatures. Make sure you selected the Text style when copying your signature in the previous section.
- Go to icloud.com/mail and sign in.
- Click the Settings icon at the top of the Mailboxes list and select Settings.
- Select Composing in the sidebar and scroll down.
- Check the Add a signature checkbox.
- Click inside the signature text field and press Cmd+V to paste your signature.
Your signature will appear automatically on every new email you send from iCloud Mail.

Add signature in other email clients
Most email clients support custom signatures. Follow these general steps to add your Zoom Scheduler signature.
- Open your email client's Settings or Preferences.
- Look for a Signature or Compose section.
- Create a new signature and press Cmd+V (Mac) or Ctrl+V (Windows) to paste your copied signature.
- Save your changes.
Note: If your email client doesn't support formatted HTML signatures, use the Text style when copying from Zoom Scheduler.
Frequently asked questions
Which signature style should I use?
The Button style works well for most users and email clients. Use Branded if you want to prominently feature the Zoom Scheduler logo. Use Text if you use iCloud Mail or a client that doesn't support HTML formatting.
Can I link to a specific booking page?
Yes. Use the Booking page dropdown in the signature generator to select which page your signature links to. If you have multiple booking pages, you can create a separate signature for each one.
My signature looks different in my email client than in the preview. Is that normal?
Minor differences in spacing or corner rounding are normal, especially in Outlook desktop. Your signature will still display correctly for your recipients.
Can I change the button text?
Yes. Before copying, type your preferred text into the Button text field in the signature generator. Common options include Book a meeting, Schedule time with me, or Find a time.
