Turning on calendar overlay when booking on someone's page
When you're signed in to Zoom Scheduler and viewing someone else's booking page, you can overlay your own calendar on top of their available times. Slots that work for both of you are marked with a green dot, and slots where you're already busy show the conflict. This helps you avoid guessing and pick a time that works for both sides without manually cross-referencing your calendar.
You can use calendar overlay to:
- See at a glance which of a host's open slots also work with your own schedule.
- Avoid double-booking yourself when scheduling with a colleague or external host.
- Skip manually cross-referencing your calendar before picking a time.
Requirements for calendar overlay
- Available to any signed-in Scheduler user
- Connect a calendar to your Scheduler account. Scheduler supports Google Calendar and Outlook.
Notes:
If you're not signed in or haven't connected a calendar, Scheduler prompts you to do so directly from the booking page. Refer to How to connect a calendar for overlay for more information.
How to turn on calendar overlay
- Sign in to Zoom Scheduler.
- In the left navigation, click Booking Pages, then open the booking page you want to schedule on.
- At the top of the page, toggle Overlay my calendar on.
The time grid updates to show your own availability layered on top of the host's open slots.
Notes:
- The toggle stays on for the rest of your session, so it applies as you browse different weeks on the same booking page.
- If you disconnect your calendar or sign out, the overlay turns off until you sign back in and reconnect your calendar.
How to read overlay indicators
Once calendar overlay is on, the time grid uses the following indicators to show whether a slot works for both you and the host:
- Green dot next to a time: this slot is open on the host's calendar and free on your own calendar. This is a good candidate to book.
- No dot or grayed-out time: the host has this slot open, but it conflicts with something on your own calendar. Hover over the time to see the conflict, for example, Busy on your calendar along with the conflicting event name and time.
Notes:
- Hovering over a time with a conflict shows the name and time of the event or events causing the conflict on your own calendar, not the host's calendar.
- The overlay only affects what you see. It doesn't restrict or filter the times the host has actually made available.
How to connect a calendar for overlay
If you're signed in but haven't connected a calendar yet, turning on Overlay my calendar prompts you to connect one before the overlay can show anything.
- Sign in to Zoom Scheduler.
- In the left navigation, click Booking Pages, then open the booking page you want to schedule on.
- Toggle Overlay my calendar on from the booking page.
- When prompted, connect your Google Calendar or Outlook account.
Once connected, the overlay applies automatically going forward. You don't need to reconnect it on every booking page you visit.
Privacy for calendar overlay
Your calendar information is never shared with or exposed to the host. The host only sees that a booking was made, not your availability, your event titles, or whether you used the overlay feature at all. Calendar overlay is a personal view that helps you pick a time faster, and it doesn't change anything the host sees on their side.
