Using the Zapier connector with Zoom Events
The Zapier connector for Zoom Events lets you connect your CRM, LMS, marketing, or other platforms to Zoom Events through Zapier. It helps you automate registrations, attendance tracking, and engagement data without manual exports. You can push registrations into Zoom Events and pull post-event data, like attendance reports and engagement scores, back into your downstream systems automatically.

Limitations of the Zapier connector with Zoom Events
- Batch registration actions process approximately 30 registrants at a time to stay within rate limits.
- On-demand viewing data is available only after attendees access the on-demand content.
- Refund handling for canceled paid tickets isn't currently supported through the connector.
How to set up event registration through Zapier
You can automate the full event registration lifecycle, from creating an event to collecting registrations, using the following Zapier actions and triggers.
Register attendees automatically
- In Zapier, create a new Zap.
- Select Zoom Events as the app.
- Choose the Add registration action.
- In the Event field, select the event you want to register attendees for.
- In the Ticket type dropdown, select the ticket type. If the event has only one ticket type, it's auto-selected.
- Map the registrant fields (name, email, and any custom fields) from your trigger app.
- Turn on the Zap. Registrations are processed in batches of approximately 30 to stay within rate limits.
Watch for new registrations
- In Zapier, create a new Zap.
- Select Zoom Events as the app.
- Choose the New registrant trigger.
- Select the hub or specific events you want to monitor. You can watch all events in a hub instead of configuring a separate Zap for each event.
- Configure your action step (for example, adding the registrant to a CRM contact list).
- Turn on the Zap. New registrations are delivered in real time through webhooks instead of polling.
Delete a registration
- In Zapier, create a new Zap.
- Select Zoom Events as the app.
- Choose the Delete Registration from Zoom event action.
- Map the registrant's email or ID from your trigger app.
- Turn on the Zap.
How to create, publish, and update events through Zapier
You can automate event creation end-to-end using a multi-step Zap.
- In Zapier, set up a trigger from your source app (for example, a new row in a spreadsheet or a new record in your CRM).
- Add a Create event action in Zoom Events to create a draft event.
- Add a Publish event action to publish the draft.
- (Optional) Add an Update event action to modify event details after publishing.
Note: Previously, the Create event action left an unpublished draft. The new Publish event and Update event actions let you complete the full workflow in a single Zap.
How to pull attendance and engagement data through Zapier
After your event ends, you can automatically sync attendance and engagement data to your CRM or marketing platform.
Pull attendance reports
- In Zapier, create a new Zap.
- Select Zoom Events as the app.
- Choose the Session ended trigger to start the Zap when an event or session finishes.
- Add the action Get session attendance or Get event attendance to pull the attendance report data (email, join/leave time, duration, attended flag, and live vs. on-demand status).
- Turn on the Zap. Attendance data is available at both the event and session level.
Pull engagement scores
- In Zapier, create a new Zap.
- Select Zoom Events as the app.
- Choose the Session ended trigger.
- Add the action Get attendee engagement data. Each attendee's record includes engagement score, session duration, polls answered, Q&A submitted, resources downloaded, and chat and lobby activity.
Note: The engagement score is a rules-based weighted calculation. You can use it for lead prioritization in your CRM. - Turn on the Zap.
Pull survey responses, polls, and Q&A data
- In Zapier, create a new Zap.
- Select Zoom Events as the app.
- Choose the Session ended trigger.
- Add the actions Get event survey responses and Get session polls and Q&A to pull the survey, poll, or Q&A response data.
- Map the responses to fields in your CRM or marketing platform.
- Turn on the Zap.
How to track on-demand viewing through Zapier
If your event has on-demand content, you can track who watched it and for how long.
- In Zapier, create a new Zap.
- Select Zoom Events as the app.
- Choose the On-demand registration action to register viewers for on-demand access, or use the on-demand report to pull viewing data. The on-demand report includes viewer email, source, view status, and watch duration.
- Map the data to your downstream system.
- Turn on the Zap.
