Adding and managing Zoom contacts

By default, your Zoom contacts directory contains users on the same Zoom account and organization in the All contacts section. You can also add any external Zoom user as a contact by specifying the email address associated with their Zoom account. After they approve your contact request, you will be able to chat, share images and files, and meet instantly. If you add an email address that isn't associated with a Zoom account, they will receive an invitation to join Zoom.

Account owners and admins of paid accounts can prevent users from seeing everyone on the same Zoom account and organization. Account owners and admins can also choose if users can chat with or add external contacts.

It is also possible to link another Zoom account as an organization, sync your contacts with a 3rd-party service, view your phone's contacts in the Zoom mobile app, and import personal contacts.

Note: Admins can view and remove your external contacts.

All phone numbers must contain the following (known as E.164 format):

How to add a contact

Windows | macOS | Linux
  1. Sign in to the Zoom desktop app.
  2. Click the Contacts tab .
    Note: If you don't see the Contacts tab, click the More tab, then click Contacts.
  3. In the left panel, click the plus icon.
  4. Select Invite a new contact.
  5. Enter the email address of the contact you want to add.
  6. (Optional) Enter a message to include with the contact request.
  7. Click Send.
    Notes:
    • Invited contacts with an existing Zoom account tied to the email address provided will receive a contact request in the desktop app.
    • Invited contacts without an existing Zoom account tied to the email address provided will receive an email from Zoom, inviting them to sign up with Zoom. Once their Zoom account is created, they must click on the link in the initial email to confirm the contact request.
Android | iOS
  1. Sign in to the Zoom mobile app.
  2. Tap the Contacts tab .
    Note: If you don't see the Contacts tab, tap the More tab, then tap Contacts.
  3. In the top-right corner, tap the ellipsis icon .
  4. Tap Invite new contact.
    You can add a contact by entering their email address or invite them with a QR code.
  5. To invite a contact by entering their email address:
    1. Enter the email address of the contact you want to add.
    2. (Optional) Enter a message to include with the contact request.
    3. Tap Send.
  6. To add a contact from a QR code:
    1. Tap Invite with QR code.
    2. Tap Scan to scan a contact's QR code or show them your QR code so they can scan it.

Notes:

Web app
  1. Sign in to the Zoom Web App.
  2. Click the Contacts tab .
    Note: If you don't see the Contacts tab, click the More tab, then click Contacts.
  3. In the left panel, click the plus icon.
  4. Select Invite a Zoom Contact.
  5. Enter the email address of the contact you want to add.
  6. Click Invite.
    Notes:
    • Invited contacts with an existing Zoom account tied to the email address provided will receive a contact request in the desktop app.
    • Invited contacts without an existing Zoom account tied to the email address provided will receive an email from Zoom, inviting them to sign up with Zoom. Once their Zoom account is created, they must click on the link in the initial email to confirm the contact request.

How to manage contact requests

Before you can meet instantly with a contact or chat with them, the added contact must approve the request. In your Contact requests, you can view all pending, accepted, and declined requests.

Windows | macOS | Linux
  1. Sign in to the Zoom desktop app.
  2. Click the Contacts tab  .
    Note: If you don't see the Contacts tab, click the More tab, then click Contacts.
  3. In the left panel, click Contact requests.
  4. Click Accept to add this contact to your list.
    This contact will appear on the Contacts tab, under External for both users.
Android | iOS
  1. Sign in to the Zoom mobile app.
  2. Tap the Contacts tab .
    Note: If you don't see the Contacts tab, tap the More tab, then tap Contacts.
  3. Tap Contact requests.
  4. Tap the pending contact.
  5. Tap Accept to add this contact to your list.
    This contact will appear on the Contacts tab, under External contacts for both users.

How to manage and organize contacts

Besides meeting and chatting with contacts, you can also star important contacts, block, or delete them. If you want to get more detailed and precise with your sorting of contacts and channels, you can sort them into folders in the Team Chat tab or create personal contact groups in the Contacts tab.

Star a contact

Starring a contact will add them to the Starred section in Team Chat, Contacts, and Phone, providing quick access to the contact or chat channel.

To star a contact using search:

  1. Sign in to the Zoom desktop app.
  2. Use the search bar to search for the contact.
  3. Click the contact's name to display the chat thread with that contact.
  4. In the top-left corner of the chat window next to the contact's name, click the star icon .
    The contact will appear in the Starred sections under the Phone, Team Chat, and Contacts tabs.

To star a contact using the contacts directory or the Team Chat side panel:

  1. Sign in to the Zoom desktop app.
  2. Click the Contacts tab or Team Chat tab.
    Note: If you don't see either tab, click the More tab, then click Contacts or Team Chat.
  3. Locate the contact you want to star.
  4. Hover over their name, then click the ellipsis icon .
  5. Click Star this contact.
    The contact will appear in the Starred sections under the Phone, Team Chat, and Contacts tabs.

You can also star chat groups and channels. If you have a Zoom Phone license, you can star contacts using your call history.

Add a contact to your VIP Contacts list

If VIP Delegation is enabled for your contact and you are a delegator, you can add contacts to your VIP Contacts list to prioritize calls from those contacts. You can also assign a delegate to manage your VIP Contacts list. Learn more about using VIP delegation.

Block a contact

Blocking a user will prevent them from chatting with you, and if they are not already a contact, will also prevent them from sending you a contact request.

To block someone by using the contacts directory or the Team Chat side panel:

  1. Sign in to the Zoom desktop app.
  2. Click the Contacts tab or Team Chat tab.
    Note: If you don't see either tab, click the More tab, then click Contacts or Team Chat.
  3. Locate the contact you want to block.
  4. Hover over their name, then click the ellipsis icon .
  5. Click Block contact.
    A confirmation dialog will appear.
  6. Confirm you want to block the contact by clicking Block.
    The contact will now show a blocked icon and label next to their name.

Note: To unblock a contact, follow the steps to block them, but choose Unblock contact, which replaces the Block contact option.

Delete a contact

Deleting a contact will prevent them from being able to continue chatting with you, but unless blocked, they can request to be a contact again.

  1. Sign in to the Zoom desktop app.
  2. Click the Contacts tab or Team Chat tab.
    Note: If you don't see either tab, click the More tab, then click Contacts or Team Chat.
  3. Locate the contact you want to delete.
  4. Hover over their name, then click the ellipsis icon .
  5. Click Delete contact.
    A confirmation dialog will appear.
  6. Confirm you want to delete the contact by clicking Delete.

Create a contact group

To better organize your contacts, you can create contact groups. These contact groups are only visible to you, similar to folders in Team Chat.

  1. Sign in to the Zoom desktop app.
  2. Click the Contacts tab  .
    Note: If you don't see the Contacts tab, click the More tab, then click Contacts.
  3. In the left panel, click the plus icon.
  4. Click Create a contact group.
  5. Enter a group name.
  6. Add contacts.
  7. Click Create group.
    The new contact group will be available under the Groups section in the Contacts left panel. After creating a group, you can add more members, rename it, or delete it.

Add a contact to your VIP Contacts list

If VIP Delegation is enabled for your contact and you are a delegator, you can add contacts to your VIP Contacts list to prioritize calls from those contacts. You can also assign a delegate to manage your VIP Contacts list. Learn more about using VIP delegation.

  5. Enter a group name.
  6. Tap Create.
  7. (Optional) Tap contacts you want to add to the group.
  8. In the top-right corner, tap Add.
    The new contact group will be available under your contacts.

Star a contact
