Using the attendee Zoom Events Companion app


Attendees can join hybrid events using the Zoom companion app. This app allows them to attend an event in person or virtually without leaving Zoom Events. They can find, bookmark, and attend sessions in hybrid and virtual events. Attendees can navigate the physical space using maps and switch between in-person and virtual webinar/meeting sessions. During hybrid events, attendees can connect with in-person and virtual attendees.

Prerequisites for using the attendee Zoom Events Companion app

Note: For attendee access to the latest Zoom Events and Webinar features, we highly encourage attendees to update to the latest version of the Zoom desktop client/mobile application.

How to join an event lobby from the Zoom Events Companion app

Join lobby from the Zoom desktop client

Note: In the desktop client, your scheduled Zoom Event links to your calendar.

  1. Sign in to the Zoom desktop client.
  2. Click the Meetings tab .
  3. Find the event that you want to join.
    Note: Zoom Events is limited to events that start on the current day.
  4. Click Join.

Join from the Meeting tab

  1. Sign in to the Zoom mobile app.
  2. Tap the Meetings tab .
  3. Tap the event you want to join.
    The event's progress is displayed under the event name (i.e., Lobby openIn progress, etc.). You will be directed to the Meeting Details.
  4. Tap Join.
    You will be directed to the event's lobby (multiple sessions events) or the event session (single-session and recurring sessions events).

Join from the Events feature

  1. Sign in to the Zoom mobile app.
  2. Tap More , then tap Events.
    A list of your upcoming events will appear.
  3. To the right of the event you want to join, tap Join.
    You will be directed to the event's lobby (multiple sessions events) or the event session (single-session and recurring sessions events).

Use the Zoom mobile app QR scanner

  1. Sign in to the Zoom mobile app.
  2. Tap More .
  3. Under Other, tap Scan QR Code.
  4. If authentication is required for this event, follow the authentication flow (i.e., Zoom log-in, email verification, etc.).
    Note: If you are not logged in to the Zoom mobile app with the same Zoom account you used to register for the event, you will be directed to the mobile web browser for the authentication flow. This will also apply if you are trying to join an event on the web and are not logged in. After you authenticate your credentials, you will return to the mobile app.

The mobile app will search and join the event lobby/event session, then automatically check-in in this process.

Use your phone's camera to scan QR codes

  1. Access your phone's camera.
  2. Use your camera to identify and scan the QR code.
  3. If a confirmation window appears, tap Open.
    You will be directed to the Zoom mobile app.

Use other join methods on your mobile device

You can use your mobile device to join the event in the following ways:

Join lobby from a web browser

When in-person attendees use their laptops to participate in sessions at hybrid events, they will be in Zoom Events Companion mode on the desktop web client by default. While they're in Companion mode, they can participate in chat, Q&A, and more without video or audio streaming. Attendees can enable or disable streaming for audio and video.

  1. Sign in to Zoom Events on a web browser.
  2. In the top-right corner, click Events Portal.
  3. Click the Upcoming tab.
  4. Find the Zoom Event that has the lobby that you want to join.
  5. To the right of the event name, click Join Lobby.
    Your web browser will open the event lobby.

How to use the lobby on the Zoom Companion app

Use the desktop lobby in companion mode

Attendees can join hybrid events using the companion app on desktop and laptop devices. This app allows them to attend an event in person or virtually without leaving Zoom Events. They can find, bookmark, and attend sessions in hybrid events.

During hybrid events, attendees can participate in chat and Q&A without video or audio streaming, and they can also enable streaming for audio/video. Attendees can switch from companion (in-person) mode to virtual mode in the lobby. Attendees can use the companion app to view sessions, chat with other attendees, watch recordings, and view the event map.

The following tabs in the lobby’s navigation menu are available in companion mode:

  • Lobby: This tab displays the sessions’ titles and images.
  • Sessions: View a list of the event's sessions and session details. You can also bookmark your favorite sessions to create a customized itinerary.
  • Itinerary: View all your sessions in one place, join a session directly from your itinerary, and have sessions where you’re a speaker to be displayed in a more prominent color in the calendar view.
  • Exhibitors: Contact and learn more about the event’s exhibitors and sponsors in this tab.
  • Event Maps: View the event map and access different levels of the event area from the Map Directory. You can also view a list of rooms at the event.

For in-person ticket holders, video and audio streaming is disabled in the lobby. To view livestreaming, you must switch to virtual mode.

Notes:

  • Livestreaming is disabled for the desktop lobby when attendees use companion mode.
  • Expo is not available in companion mode.
  • Attendees cannot use the eBadge feature on the desktop companion app.

Participate in webinar and meeting sessions

In webinar and meeting sessions, you can use the meeting controls to view the participants list, chat, share your screen, participate in Q&A, and record the session. In the participants list, you can view other participants who have enabled or disabled audio/video streaming .

  1. Join a meeting or webinar session.
    Note: Video and audio streaming will be disabled in companion mode.
  2. In the bottom-left corner of the meeting controls, click Enable Stream.
    A pop-up window will appear.
  3. In the window, click Enable stream to confirm.
    Audio and video streaming will be enabled for your device, and you will be in virtual mode.
  4. (Optional) In the meeting controls, click Disable Stream.
    Audio and video streaming will be disabled, and you will be in Companion mode.

Accept host invite to switch from companion mode to virtual mode

  1. Join a meeting or webinar session.
    Note: Video and audio streaming will be disabled in companion mode.
  2. When you receive the host’s invite to enable streaming, select from the following options:
    • Enable Stream: This will enable audio and video streaming, and you will switch to virtual mode.
    • Cancel: Audio and video streaming will remain disabled, and you will remain in companion mode.

The host will receive a notification of your response.

Switch to virtual mode

  1. Join a hybrid or in-person event using the desktop Zoom Companion app.
  2. On the top navigation menu, click the ellipsis , then click Switch to Virtual Mode.
    You will switch to the virtual mode of the event lobby. Learn more about using the event lobby in virtual mode.

The event lobby is the starting point of multiple sessions events and Zoom Sessions events. Attendees can use the companion app to view sessions, chat with other attendees, watch recordings, display your event badge (eBadge), and view the event map.

Use in-person mode in the event lobby

  1. Join a hybrid or in-person event using the Zoom Companion app.
    You will be directed to the list of the event's sessions in the Sessions tab .
  2. Use the bottom navigation menu to access the event's tabs:
    • Sessions : View a list of the event's sessions and session details. You can also bookmark your favorite sessions to create a customized itinerary
      • On the session details page, the countdown to the session start time will be displayed before a session starts. During a session, the Join Chat & Q&A option will appear. After the session, the session recording will be available for playback.
    • Itinerary :  View your bookmarked sessions and add them to your personal calendar.
    • Chat : Access the lobby chats and view your connections. Learn more about participating in lobby chat.
    • People : View a list of the AttendeesSpeakers, and Exhibitors. Each category is separated by a tab. On user profiles, you can view if others are attending the event virtually or in person. An in-person/hybrid/virtual badge is displayed on user profiles, showing how they are attending the event. You can also search and filter the People tab.
      • Sponsors' profiles will display their custom company URL and logo. You can tap the company logo if the sponsor added a custom company URL.
    • More : Access more event features:
      • Recordings : If enabled by the host, access session recordings after an event and watch event recordings
      • Profile Settings Change your Zoom Events profile mode, adjust in-app notifications, and edit your networking profile. Learn more about updating your profile settings.
      • Sponsors & Exhibitors: View the sponsors and exhibitors of the event.
      • Event Map View the event map and access different levels of the event area from the Map Directory. You can also view a list of rooms at the event.
      • My eBadge : Access your event badge (eBadge) and view your ticket type.
      • Event Details : View information about the event organizer, event info (start/end date and time), and location.
      • Pair with Room : Enter a sharing key to pair with a Zoom Room, then tap Pair. The sharing key is found in the top-right corner of your Zoom Rooms device.
      • Share Feedback with Zoom : Submit feedback to Zoom about your experience with your Zoom Event or with the Zoom client. Learn more about sharing feedback with Zoom.
      • Scan QR Code : If you are a special role user (with permission) or the host, use the QR code scanner to scan QR codes included in attendees' e-badges or registration emails to check them into their events or sessions. Learn more about using Zoom Events in-app check-in scanning.
      • Report Incident : Report an incident that you believe violates our terms of service or Acceptable Use Guidelines.
      • Switch to Virtual Mode: Switch to the virtual mode of the event lobby. Learn more about using the event lobby in virtual mode
      • Minimize Event: Minimized the event in the Zoom mobile app. 
      • Close Event: Exit the Zoom Event.

Filter the People tab

The People tab is where you go to see the profile cards of everyone in the event. It includes all the profile cards of the event directory, and also displays the profile cards of the event's hosts, exhibitors, speakers, and attendees. You can tap the Speakers, Exhibitors, or Attendees tabs to narrow the results and display only the categorized Zoom Events users.

  1. At the top of the People tab, use the search bar to search for Zoom Events attendees.
  2. To the right of the search bar, tap the filter button  to use the following filters:
    • Connections: Find other Zoom Events users by whether they are connected or not connected with you.
    • Status: Select the Feeling Social checkbox to filter other users who are available for networking.
    • Role: Find other Zoom Events users by their role.
    • Company: Find other Zoom Events users by their company.
    • Position: Find other Zoom Events users by their position.
    • Location: Find other Zoom Events users by location.
    • Interests: Find other Zoom Events users by interests.

Switch to virtual mode

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. On the bottom navigation menu, tap More .
    You will be directed to the More Options menu.
  3. Tap Switch to Virtual Mode.
    You will switch to the virtual mode of the event lobby. Learn more about using the event lobby in virtual mode.

Minimize event

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. On the bottom navigation menu, tap More .
    You will be directed to the More Options menu.
  3. Tap Minimize Event.
    The event will be minimized, and you can do other actions on the Zoom mobile app while keeping the lobby open.

When you want to return to the lobby:

  1. On the Zoom mobile app, tap Meetings.
  2. At the top of the Meetings tab, find the minimized event (labeled In progress), then tap Join Lobby.
    You will return to the event lobby.

Leave event

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. On the bottom navigation menu, tap More .
    You will be directed to the More Options menu.
  3. Tap Leave Event.
    You will exit the Zoom Event.

Use the web browser lobby in companion mode

Attendees can join hybrid events using the companion app on a web browser on desktop and laptop devices. This app allows them to attend an event in person or virtually without leaving Zoom Events. They can find, bookmark, and attend sessions in hybrid events.

During hybrid events, attendees can participate in chat and Q&A without video or audio streaming, and they can also enable streaming for audio/video. Attendees can switch from companion (in-person) mode to virtual mode in the lobby. Attendees can use the companion app to view sessions, chat with other attendees, watch recordings, and view the event map.

The following tabs in the lobby’s navigation menu are available in companion mode:

  • Lobby: This tab displays the sessions’ titles and images.
  • Sessions: View a list of the event's sessions and session details. You can also bookmark your favorite sessions to create a customized itinerary.

Participate in webinar and meeting sessions

  2. On the top navigation menu, click Event Map.
  3. On the event map, click a location pin to view the location card with details and description.
    • If a session is in progress at that location, click Join Session.
  4. On the Map Directory left navigation menu, click the location names to expand the list of room names.
  5. Click a room from the list to automatically be directed to that location pin.
    Information about sessions that are located in that room will be displayed.
  6. On the room information, click the following actions for each session:
    • Join Chat & Q&A: Join the session’s chat and Q&A.
    • Bookmark : Bookmark the session that you want.

Navigate an event map 

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. On the bottom navigation menu, tap More , then tap Event Map .
  3. On the event map, tap a location pin to view the location card with details and description. 
    • If a session is in progress at that location, tap Join Session.
  4. On the location card, tap Back to Room List to view the list of rooms in the location. 
    • Tap a room from the list to automatically be directed to that location pin.
    • Tap Close room list to hide the room list.
  5. On the Map Directory card, tap the location names to access the event area's different levels.

  2. On the top navigation menu, click Event Map.
  3. On the event map, click a location pin to view the location card with details and description.
    • If a session is in progress at that location, click Join Session.

  3. (Optional) At the top of the screen, use the search bar to find the session you want to view/join.
  4. (Optional) To the right of a session, click the bookmark icon to bookmark the session.
    Bookmarked sessions will appear in the Itinerary tab
  5. To the right of the session you want to join, click the Join button in either the left panel's session tile view or at the top of the session detail page.

Reserve a seat in a session

When you view an event's sessions, and when a session is reservable, the session is tagged. The session also displays the number of seats left.

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. In the top navigation menu, click Sessions.
  3. Reserve your spot in a session in the following ways:
    • Use the reservation button:
      1. To the right of the session you want to reserve, click Reserve a Spot.
        When you reserve a spot, the session is automatically bookmarked.
    • Reserve your seat on the session details page:
      1. Click the session that you want to join. If the session has 3 or fewer seats available, the reservation tag specifies the number of seats left.
        The session details page will appear.
      2. On the session details page, click Reserve a Spot.
        When you reserve a spot, the session is automatically bookmarked.
  4. (Optional) Unreserve your spot in the following ways:
    • To the right of the session you want to remove your reservation from, click the bookmark icon to remove the bookmark. If a confirmation window appears, click Yes, Cancel.
      Removing a bookmark will remove your reserved spot.
    • On the session details page, click Undo Reservation. If a confirmation window appears, click Yes, Cancel.
      Removing a reserved spot in a session will automatically remove the session's bookmark.

Join and bookmark sessions in the Sessions tab

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. On the bottom navigation menu, tap the Sessions tab .
  3. (Optional) At the top of the screen, use the search bar to find the session you want to view/join.
  4. (Optional) At the top of the screen, view and tap the rotating banner carousel that displays and highlights event sponsors.
    You will be directed to the sponsor details page.
  5. (Optional) To the right of a session, tap the bookmark icon to bookmark the session.
    Bookmarked sessions will appear in the Itinerary tab
  6. To the right of the session you want to join, tap the following options:
    • Tap Join to join the session on the Zoom Companion app.
    • To the right of the Join button, tap the ellipsis , then choose from the following join methods:

Reserve a seat in a session

    When you reserve a spot, the session is automatically bookmarked.
  5. (Optional) Unreserve your spot in the following ways:
    • In the top-right corner of the session details page, tap the bookmark icon  to remove the bookmark. If a confirmation window appears, tap Yes, Cancel.
      Removing a bookmark will remove your reserved spot.
    • On the session details page, tap Cancel Reservation or Undo Reservation (if a session is ongoing). If a confirmation window appears, tap Yes, Cancel.
      Removing a reserved spot in a session will automatically remove the session's bookmark.

  2. In the top navigation menu, click Sessions.
  3. (Optional) At the top of the screen, use the search bar to find the session you want to view/join.

    Bookmarked sessions will appear in the Itinerary tab
  5. To the right of the session you want to join, click the Join.

How to manage sessions in the Itinerary tab

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. In the top navigation menu, click Itinerary.
    Your bookmarked sessions will appear.
  3. In the top-right corner, click the Export Itinerary as ICS File  to export your itinerary as an ICS file.
    A confirmation window will appear.
  4. In the confirmation window, click Export.
  5. Download and open the ICS file, which contains all your bookmarked sessions.
    All your added sessions will appear in your personal calendar.

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. In the bottom navigation menu, tap Itinerary .
    Your bookmarked sessions will appear, displaying their status (In ProgressStarting Soon, etc.).
  3. In the top-right corner, tap the Add Cal  to export your itinerary as an ICS file.
    A confirmation window will appear.
    1. In the confirmation window, tap Export.
    2. Download and open the ICS file, which contains all your bookmarked sessions.
      All your added sessions will appear in your personal calendar.
  4. (Optional) To the right of a session that is In Progress, tap Join to join the session.

  2. In the top navigation menu, click Itinerary.
    Your bookmarked sessions will appear.

    A confirmation window will appear.
  4. In the confirmation window, click Export.
  5. Download and open the ICS file, which contains all your bookmarked sessions.
    All your added sessions will appear in your personal calendar.

How to watch recordings

If the hosts allow it, attendees can access session recordings after an event. When a session is finished and its recording has been published, the session tile in the event details page will be clickable to watch the recording with a deeplink. When clicked, users will be directed to the lobby to watch the recording.

Attendees can also use multiple language voice translation from interpreters and can use recording transcript translation.

Note: The recordings will remain in the lobby until the lobby is closed.

  1. Join an event lobby on the desktop client.
  2. At the top of the page, click the Sessions tab.
  3. On the session card that has the recording that you want to watch, click Watch Recording.
    You will be directed to the recording's page.

Notes:

  • Attendees can watch Simulive recordings after a session ends by accessing the recording link in the event lobby. The Simulive recordings are not recorded; this link directs the attendees to the original recording which was used to create the Simulive session.
  • Attendees can also view the session details on an event detail page. On the detail page of each session/recording, attendees can initiate Recording Playback if the session recording is available. If the attendee is recognized and granted access, they can watch the video on a recording playback window. If the attendee is recognized but not granted access, they must complete a registration form to access and watch the video on the recording playback window. If the attendee is not recognized, they will be directed to the registration page and must sign in or register to access the content. Learn more about viewing recordings from the event details page.

  3. (Optional) At the top of the screen, use the search bar to find the recording you want to watch.
  4. To the right of the recording that you want to watch, tap Play.

How to enable interpreter audio and video

Attendees, who are using companion mode, can listen to language interpretation audio on the Zoom Events Companion app while being in person at the event.

  1. Join a session using the Zoom Companion app.
  2. In the meeting controls, click Interpreter audio .
    A confirmation window will appear.
  3. In the confirmation window, click Confirm.
    Interpreter audio and video will be enabled.

(Optional) How to use your eBadge to access hybrid/in-person events

This feature is only available on the Zoom Events Companion mobile app.

  1. Join a hybrid or in-person event using the Zoom Companion app.
  2. On the bottom navigation menu, tap More , then tap My eBadge .
    Your event badge (eBadge) will appear.
  3. Present your eBdage at the event to check-in.

How to switch to companion (in-person) mode from virtual mode

  1. In a hybrid or in-person event, switch to virtual mode.
  2. In the top navigation bar, click the ellipsis , then click Switch to Companion Mode.
    You will switch to the companion mode of the event lobby.

  2. In the (virtual mode) event lobby, switch back to in-person mode in the following ways:
    • Use the bottom navigation menu:
      • At the bottom of the screen, tap More , then tap Join In-Person Mode.

How to complete post-event surveys in the Zoom Events Companion app

When a host has set up a post-event survey for their event, you will receive an in-app notification for the post-event survey. You can complete the survey on the Zoom Events Companion mobile app.

Access the post-event survey from the in-app notification

  1. In the Zoom Events Companion app, view the post-event survey notification.
  2. In the notification, tap Yes, continue
    You will be directed to the survey.
  3. Complete the survey, then tap Submit.

Access the post-event survey from the event details page

  1. In the Zoom Events Companion app, access the event details page after an event has ended.
  2. In the event details page, tap Take Survey.
  3. Complete the survey, then tap Submit.
