Using call summary with AI

When Call summary with AI is enabled, Zoom Phone users can generate AI-powered summaries of their phone conversations both during and after a call. This feature uses AI technology, which may include third-party models, to capture key discussion points, names, dates, and next steps. At the end of the call, these summaries are automatically accessible to each person through the call history logs within the Zoom Workplace app or the web portal and can be edited, shared, or exported to Zoom Canvas. Users can view a condensed or complete version of the summary based on their preference.

During an active call, users can also open the AI chat panel to get real-time summaries and ask questions based on the live transcription. Pre-built prompts such as "Summarize this call so far" and "What are the action items?" are available, along with the option to type custom questions. When the feature is initiated, participants hear a disclaimer and a visual indicator confirms the call is being transcribed. Phone calls, questions, and responses are supported in more than 30 languages.

How to generate a phone call summary 

  1. Make or receive calls.
  2. While on a call, in the phone dialer, click Summarize to initiate a summary.
    A dialog box will appear, letting you and your participants know Call Summary with AI is enabled for the call.
  3. Click Stop summary to stop the summary.

How to get real-time call summaries with AI

This section provides step-by-step instructions for accessing and using real-time call summaries with AI during an active phone call. Follow the steps to start the AI feature, ask questions, and interact with AI-generated responses.

Windows | macOS
  1. Sign in to the Zoom Workplace desktop app.
  2. Make or receive calls.
  3. While on a call, on the phone keypad, click the AI button  to initiate the feature.
    A panel will appear. Additionally, a disclaimer will play, letting you and your participants know that the feature is enabled for the call.
    Note: If this is the first time opening the feature in the current phone call, some typical preset prompts are provided. Any subsequent views of the panel for the current phone call will have your questions and responses thus far shown instead.
  4. Click a provided question, or click the text compose box at the bottom of the panel to enter a custom question.
    The AI feature will provide a generated response based on what it has heard and properly analyzed thus far in the meeting.
  5. (Optional) Click either thumbs up or thumbs down to rate the generated response.
  6. (Optional) Click the copy icon to copy the response.
  7. (Optional) Click the regenerate icon to regenerate a new response.
  8. (Optional) Click the save message icon to save the response to Zoom Canvas.
    A pop-up window showing the Zoom Canvas link will shortly appear.
  9. At the bottom of the panel, enter another custom question, or click Show suggested prompts to view additional preset prompts.
  10. (Optional) On the phone keypad, click the AI button again to close the AI chat panel.

  7. (Optional) Tap the more icon then tap Create Task to create a task. 
    A pop-up window will appear which lets you create the task. Tap Create to save the task or tap Cancel to go back to the AI panel.
  8. At the bottom of the panel, enter another custom question.
  9. (Optional) On the phone keypad, tap the AI button again to close the AI chat panel.

The phone call conversation will be displayed in the Zoom Phone History tab once the call is over, with the AI indicator . The call will contain a Quick recap and Next steps, where you can View full summary. You can also copy specific sections of call summaries individually, such as Key Points, Summary, and Next Steps under Call summary with AI.

How to start a new conversation with AI during a phone call

  1. While using real-time call summaries with AI, in the top-right corner of the AI panel, click the New conversation icon .
    You will begin a new conversation with with AI.
  2. Click a provided question, or click the text compose box at the bottom of the panel to enter a custom question.
    The AI feature will provide a generated response based on what it has heard and properly analyzed thus far in the meeting.

How to stop real-time call summaries with AI during a phone call

When both Zoom Phone users are on the same call, a clear indicator shows which user has call summary with AI enabled. Users can send requests to other participants to turn off the feature and delete conversation assets during a call.

Windows | macOS
  1. At the top of the active call screen, click the AI icon . 
  2. A confirmation window will appear, informing you of which AI features will be disabled.
  3. Click Click here next to the AI icon .
  4. Click Stop AI.
  5. (Optional) Select the Delete call assets checkbox to enable it. Deselect the Delete call assets checkbox to disable it.
    When enabled, the call assets will be deleted.
  6. Click Stop to confirm.
    The status indicator will be removed from the phone call.
Android | iOS
  1. While using real-time call summaries with AI, at the top of the panel, tap Stop Zoom AI.
    A confirmation window will appear, informing you of which AI features will be disabled.
  2. (Optional) Select the Delete call assets checkbox to enable it. Deselect the Delete call assets checkbox to disable it.
    When enabled, the call assets will be deleted.
  3. Tap Stop to confirm.
    The status indicator will be removed from the phone call.

How to access your call summary

Windows | macOS | Linux
  1. Sign in to the Zoom Workplace desktop app.
  2. Click the Phone tab . 
    Note: If you don't see the Phone tab, click More then click Phone. 
  3. Click the History tab.
  4. At the top of the page, click the Filter call history icon, then select Summary.
  5. Click the entry you want to view, identify the call summary you need, then click View full summary.
    A pop-up window will appear with a quick recap, next steps, and summary.
  6. Click one of the following icons as necessary:
    • Canvas : Create a Zoom Canvas Doc containing your call summary after the call ends. After completing a call with call summary enabled, you have the option to manually create a Zoom Canvas Doc that includes an automatically generated call summary, next steps, and other sections based on selected templates. The document automatically includes the AI-generated call summary and next steps.
    • Share : Share the summary with another user.
      The current version of the summary will be sent, and no other version.
    • Copy to clipboard : To copy the summary and next step.
      The summary will be saved to your clipboard for you to paste where you need.
    • Edit : To manually edit the summary as needed.

    • Trash : To delete the summary.

  1. Sign in to the Zoom web portal.
  2. In the top-right corner, click your profile picture or initials, then click My account.
  3. In the side menu, click Zoom Phone.
  4. Click the History tab.
  5. To the right of your summarized call, under the Summary column, click View more to view the summary, then click one of the following as necessary:
    • Canvas : Create a Zoom Canvas Doc containing your call summary. After completing a call with call summary enabled, you have the option to manually create a Zoom Canvas Doc that includes an automatically generated call summary, next steps, and other sections based on selected templates. The document automatically includes the AI-generated call summary and next steps.
    • Share: Enter the email address of the person you want to share the summary with, then click Share.
    • Copy: The summary will be copied to a clipboard for you to paste wherever you need.
    • Edit: Edit your summary and enter any Next Steps as necessary, then click Save.
      Note: You can view call summaries generated from the default template. You can also edit it with rich text.
    • Delete: Permanently delete and remove the call summary within the Zoom product.

How to manage and generate tasks for Call Summary with AI

When Automatically generate tasks from phone call summary is enabled, you can receive AI-generated task recommendations based on your call summaries and can create tasks manually using a dedicated button that opens the task creation dialog. The feature includes right-click functionality on calls for direct task creation and displays all generated tasks when viewing call history. Call participants can be automatically added as task collaborators based on admin configuration.

View auto-generated recommended tasks based on your call summary

  1. Access the call summary you want to manage.
    The Next steps from the call summary will be displayed as hyperlinks.
  2. Click a Next steps hyperlink.
    A pop-up window will appear.
  3. In the window, view the recommended task and edit its details as needed.
  4. Click Accept.
    The task will be created.
  5. (Optional) In the recommended task panel, click View in Tasks to manage your task.

Manually create a task

  1. Access the call summary you want to manage.
  2. Hover your cursor over the call summary, click the ellipsis , then click Create task.
    A pop-up window will appear.
  3. In the window, edit the task details as needed.
  4. Click Create.
    The task will be created.
  5. (Optional) In the recommended task panel, click View in Tasks to manage your task.

View auto-generated recommended tasks based on your call summary

  1. Access the call summary you want to manage.
    The Next steps from the call summary will be displayed as hyperlinks.
  2. Tap a Next steps hyperlink.
    A pop-up window will appear.
  3. In the window, view the recommended task and edit its details as needed.
  4. Tap Accept.
    The task will be created, and a success message will appear.
  5. (Optional) In the success message, tap Open in Tasks to manage your task.

Manually create a task

  1. Access the call summary you want to manage.
  2. Long-press the call summary, then tap Create task.
    A pop-up window will appear.
  3. In the window, edit the task details as needed.
  4. Tap Create.
    The task will be created, and a success message will appear.
  5. (Optional) In the success message, tap Open in Tasks to manage your task.

How to request admin enablement for Call Summary with AI

Depending on your admin's settings for Call Summary with AI (and whether the feature is shown in Zoom Phone), you may be able to request that an admin enable Call Summary with AI.

If your admin has hidden Call Summary with AI in Zoom Phone, the request button will not appear.

    A pop-up window will appear.
  3. In the window, click Send request to request that an admin enable Call Summary with AI.

  3. In the window, tap Send request to request that an admin enable Call Summary with AI.
