Using Visitor Management on the mobile app
Visitor Management is accessible through the Zoom mobile app. Users can initiate and manage visitor invitations directly from their mobile devices. This feature enables core visitor management capabilities on mobile devices.
Requirements for using the visitor management mobile app
- A Zoom account with an active Visitor Management license
- Zoom mobile app version 5.12.0 or higher
- Visitor Management enabled for your organization
How to send a visitor invitation
- Sign in to the Zoom mobile app.
- Tap More
, then tap Workspaces
. - Tap Reserve on the upper left corner of the screen, then tap Visitors.
- Tap the Plus
icon in the lower right corner of the screen. - Enter the following visitor information.
- Visitor Name
- Email address
- Organization (Optional)
- Location
- Date
- Time
- (Optional) Skip registration
- (Optional) Private note to admin
- Tap Send.
How to send a visitor invitation reminder
- Sign in to the Zoom mobile app.
- Tap More
, then tap Workspaces
. - Tap Reserve on the upper left corner of the screen, then tap Visitors.
- Tap the More
icon in the upper-right corner, then tap Send a reminder. - A confirmation message will appear: Remind success
How to edit a visitor invitation
- Sign in to the Zoom mobile app.
- Tap More
, then tap Workspaces
. - Tap Reserve on the upper left corner of the screen, then tap Visitors.
- Tap the More
icon in the upper right corner, then tap Edit invitation. - After editing the necessary information, tap Resend.
How to view visitor invitation details
- Sign in to the Zoom mobile app.
- Tap More
, then tap Workspaces
. - Tap Reserve on the upper-left corner of the screen, then tap Visitors.
- Tap the More
icon in the upper-right corner, then tap See invitation details.
How to cancel a visitor invitation
- Sign in to the Zoom mobile app.
- Tap More
, then tap Workspaces
. - Tap Reserve on the upper left corner of the screen, then tap Visitors.
- Tap the More
icon in the upper-right corner, then tap Cancel invitation. - Tap Confirm cancellation to cancel the invite. Visitors will receive a cancellation email.
How to change the visitor invitation status
- Sign in to the Zoom mobile app.
- Tap More
, then tap Workspaces
. - Tap Reserve on the upper-left corner of the screen, then tap Visitors.
- Tap the Filter
icon in the upper-right corner, then tap the desired invitation status to change the current view. - Tap the available invitation status.
- All status: View all invitations regardless of status
- Waiting for registration: Awaiting the visitor to complete the registration
- Registration complete: The visitor completed the registration
- Checked in: Visitor has arrived and checked in
- Canceled: Canceled invitation
- Visit complete: Visit has concluded
- No show: The visitor failed to arrive
How to reserve a workspace for a visitor
Note: To book a workspace, the visitor must complete the registration.
- Sign in to the Zoom mobile app.
- Tap More
, then tap Workspaces
. - Tap Reserve on the upper-left corner of the screen, then tap Visitors.
- Select the visitor, then tap the 3 dots
. - Tap Reserve a workspace for visitor.
- Select the desired workspace from the floor map and edit the date and time.
- Tap Reserve.
